The Talent Acquisition & Outreach Associate performs a variety of professional, coordination, and administrative activities in the Talent Management Department, amplifying OHSU’s visibility as a destination employer and providing critical support to Talent Acquisition Partners.
Depending on assignment, the Talent Acquisition & Outreach Associate will report to either the Manager, Talent Acquisition Operations & Recruitment Marketing functional area, or the Manager, Talent Acquisition Operations & New Hire Coordination functional area. This role will carry out tasks that advance strategies around sourcing and outreach, screening and assessment, workforce planning, and candidate experience.
- Supports Talent Acquisition Partners with administrative and recruitment activities such as outreach, sourcing, and gathering and presenting data.
- Conducts outreach, places advertising (as directed by Talent Acquisition Partners and Recruitment Marketing Specialist), and other sourcing activities, with a priority of attracting diverse candidate pools, including engaging passive and active candidates, building pipelines, and enhancing visibility of OHSU opportunities.
- Deploys recruitment outreach strategies and reports outcomes to Talent Acquisition Partners. Provides information gained on market trends.
- Answer and triage recruitment inquiries via email, phone and in person (when working in office); consulting with Talent Acquisition Partners and Managers on more complex questions.
- Under the direction of the Manager of Talent Acquisition Operations and Recruitment Marketing, drafts proactive communication to candidates regarding the recruitment process, OHSU’s employment brand, and other correspondence.
- Identify opportunities to incorporate principles of diversity, equity, inclusion, belonging, and OHSU’s values into communications, job postings, and recruitment processes.
- Posts positions in applicant tracking system-iCIMS. Creates assessments during posting process to build efficiency in screening process.
- Trains and educates hiring managers and their support staff on requisition approval process and workflows to ensure a smooth, consistent, positive experience.
- Coordinates with other Associates to manage shared mailboxes.
- Provides recruitment support to hiring managers or other HR team members with the prescreening applicants, managing candidates in the applicant tracking system, creating offer letters for new hires.
- Supports the administration of pathway programs for sourcing and recruiting.
- Supports the administration and marketing of programs such as Employee Referral Bonus Program, OHSU Hot Jobs.
- Represents OHSU at community events and career fair activities, in person or virtual.
- Provides input on potential barriers to the hiring process that should be removed as well as best practices that provide for equitable hiring outcomes.
- Prepares informational documents and packets.
- Updates recruitment related items on the intranet “O2” under the direction of Manager.
- Coordinates with other functional areas of HR to update content on intranet.
- Participates in HR process improvements or systems development projects as assigned.
- Provides administrative support to Talent Acquisition Partners, ie. scheduling meetings, interviews.
- Manages a small requisition load as a growth/development opportunity, and to support increases in recruitment volume, being mentored by Senior Talent Acquisition Partners.
