Department Overview

The Division of Infectious Diseases is part of the Department of Medicine within the School of Medicine at Oregon Health & Science University. The Division is comprised of academic physicians and nurses specializing in the diagnosis and treatment of infectious diseases and related disorders. The Division provides both inpatient and outpatient consultative services and supports infection control and antibiotic stewardship at OHSU, Portland Veterans Affairs Medical Center (PVAMC), and OHSU Hillsboro Medical Center (HMC).

Function/Duties of Position

This position will provide administrative support to the Division of Infectious Diseases in a number of key areas, including but not limited to:

  • General coordination, secretarial support, record keeping and processing
  • Purchasing, financial and data processing
  • Fellowship program support (i.e. overseeing fellowship recruitment, compliance with accreditation requirements, coordinating fellow schedules, managing conferences, etc.)  
  • Special tasks or projects assigned
  • Will serve as the primary point of direct administrative contact for the ID Division

Required Qualifications

  • Four years of general office or secretarial experience; OR
  • An Associate’s degree or certificate in office occupations or office technology AND two years of general office or secretarial experience; OR
  • A Bachelor’s degree and two years of general office or secretarial experience; OR
  • An equivalent combination of training and experience
  • Intermediate skills in MS Office (Word, Excel, Power Point, and Outlook)
  • Demonstrated ability to schedule appointments and handle complex calendaring.

Preferred Qualifications

  • A Bachelor’s degree and two years of general office or secretarial experience
  • More than 1 year experience as Coordinator of a residency or fellowship
  • Financial experience
  • Fellowship Coordinator experience of more than 1 year and familiarity with RRC and ACGME fellowship guidelines, ERAS system and evaluation software systems
  • Proficient in Oracle or a similar ordering system, including experience with creating requisitions and receiving
