Department Overview

This position ensures the operational level for the Sky Lakes Collaborative Health Center (CHC) Simulation & Clinical Learning Center (SCLC) facility is maintained throughout the year. A key component of this position it to ensure there is adequate staffing the support to sustain the simulation-based education program, and that that systems are designed and implemented to effectively and efficiently manage the space, equipment, and personnel, and policies and procedures are created to maintain and grow operations, as needed. The position supports simulation operations as needed, including ongoing maintenance of the simulation technology infrastructure. The position effectively and efficiently manages the space and workflow within the SCLC working collaboratively resolve scheduling conflicts.

Function/Duties of Position

  1. Coordinates and operates the CHC SCLC space.
    1. Meeting with (SON and Rural Campus) users of the space quarterly to determine course needs and develop a timeline for providing support for the term.
    2. Coordinating scheduling of simulation and skills lab activities on the CHC SCLC staff, faculty, and others as needed.
    3. Scheduling the use and ordering supplies for the CHC SCLC.
    4. Facilitating communication between the SON and the Rural Campus.
    5. Liaison with the users to make sure all scheduling needs are met.
    6. f. Initiating email communications as needed with program faculty, program directors, assistant deans, and OHSU Simulation representatives.
    7. Initiating/participating in performance improvement initiatives to enhance access to, and experiences of simulation-based learning events.
  2. Providing technical support for program delivery of CHC SCLC simulation and skills labs.
    1. Leading and supporting new calendaring and scheduling initiatives, in conjunction with OHSU Simulation.
    2. Assisting, as needed, with program data entry projects, quarterly and as needed for benchmarking simulation effectiveness.
    3. Coordinating of all and scheduling of equipment/supplies, space and interfacing with OHSU simulation to facilitate operational needs.
    4. Maintaining and providing maintenance of technology including: manikins, task trainers and the Laerdal AV system.
  3. Campus administration & support
    1. Facilitates policies and procedures required for simulation events.
    2. Participating in planning meetings, setting agendas, assisting with meeting arrangements, and taking minutes as assigned.
    3. Communicating programmatic needs to OHSU Simulation and partnering with SON SimOps Specialist to ensure learner needs will be met.

 

Required Qualifications

Education And experience:

  • Four years of general office or secretarial experience; OR
  • An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
  • A Bachelor’s degree and two years of general office or secretarial experience; OR
  • An equivalent combination of training and experience.
  • Ability to manage time with frequent interruptions.
  • Ability to re-prioritize work to meet multiple and competing deadlines.
  • Organizational skills, flexibility and willingness to get the job done
  • High level of organization and prioritization skills required to complete work in a timely and efficient manner; Excellent grammar, punctuation and spelling; Highly developed and experienced interpersonal communications skills, both verbal and written
  • Ability to work cooperatively with academic, unclassified management, and classified personnel on a daily basis
  • Recent (past two years) experience and competency in MS Suite applications, e.g. Word, PowerPoint and Excel, willingness to learn other applications if needed; Knowledge of FileMaker Pro, Access, Oracle, Banner ISIS and outlook preferred.

Preferred Qualifications

  • Prior experience working with faculty and programs within a higher education environment.
  • Experience working with faculty and staff in simulation environments.
  • Certified Healthcare Simulation Operations Specialist (CHSOS) certification, or certification eligible within two years.
