Department Overview

This position will manage the Cardiovascular Disease and subspecialty fellowship training programs and the cardiology continuing medical education programs. This position works independently to ensure the institute’s compliance with national accreditation standards, to manage institute continuing education, and community education events.

Function/Duties of Position

  • Responsible for all activities of the Cardiovascular Disease and subspecialty fellowship training programs.
    • Manage all fellowship-related activities, e.g. recruitment, application process, interview process, new-fellow and graduating fellows processes for 8 fellowships.
    • Represent the training program to ACGME, ABIM, ACC and other outside agencies.
    • Interface with GME office:
      • Assist in periodic program review-RRC committee/ACGME
      • Attend regular fellowship coordinator meetings
      • Updates to fellowship directors as necessary
      • Provide GME office requisite paperwork for hire
      • Schedule GME requisite orientation and training for incoming fellows
      • Prepare orientation notebooks for incoming fellows: faculty, policies and procedures, rotations, evaluations, etc.
      • Maintain and update fellow files containing evaluations, procedure logs, duty hours, etc.
      • Enter all new fellow data in MedHub; updates as necessary
    • Ensure rotation assignments and program activities are in accordance with ACGME program requirements.
    • Manage time off requests from fellows
    • Maintain confidentiality of fellow training files
    • Ensure proper completion of all licensing, leave, travel, loan deferral forms, etc.; provide administrative support for all fellows, including reimbursements, letters of recommendation, office assignments, keys/pagers/lab coats, etc.
    • Ensure timely and appropriate evaluations for fellows, faculty and program (Annual program evaluations, biannual reviews, clinical competency committee meetings, etc.)
    • Coordinate planning of core and elective seminars/conferences
    • Oversee and supervise major training exams.
    • Coordinate program preparation for accreditation site reviews
    • Updating and producing faculty profiles, curricula, rotations, etc. for fellow training notebooks and recruitment packets
    • Maintain online call schedules for OHSU and VA operators
  • Manage overall recruitment effort for 8 fellowship training programs (General Cardiology, Electrophysiology, Heart Failure, Interventional, Advanced Imaging, Adult Congenital Heart Disease, Cardiac Amyloidosis and Structural Heart Disease)
    • General duties associated with these fellowships:
      • Manage applicant materials (500+)
      • Collection of applications from ERAS (Electronic Residency Application System); provide GME office with applicant data
      • Utilize ERAS for data management; respond to end-user needs regarding computer program access and function
      • Invite applicants, manage correspondence with applicants – email and phone
      • Prepare and mail interview packets for applicants; create interview scoring forms for faculty
      • Schedule interviews with faculty (usually 5 days for General Cardiology, 1 - 2 day for other fellowships)
      • Manage interview days (breakfast, lunch, tour, interviews with faculty
      • Organize interview evaluations for review with averaged scores for each fellow applicant
      • Prepare PowerPoint presentation for Education Committee meeting to rank candidates
      • Enter rank list with NRMP
      • All necessary paperwork/documentation for new fellow confirmation – official offer letters, etc.
      • Update and edit program websites, program brochures and other materials as needed
    •  
  • Conferences – Oversee weekly and CME conferences in coordination with the Education Coordinator.

Required Qualifications

  • A Bachelor’s degree and two years of general office or secretarial experience, preferably in an Academic Medical Center; OR
  • an equivalent combination of training and experience.

Preferred Qualifications

  • BS/BA with CME and Fellowship experience.
  • Knowledge of ACGME requirements and evaluation criteria and process.
