Department Overview

As the Training Grant Support Coordinator you will primarily be responsible for the establishment and continued coordination of a new position to support NIH training grants within the School of Medicine. Prestigious NIH training grants (NRSA T32, TL1, T15, K12, KL2) allow for cross-discipline training across multiple missions, support trainee tuition and stipends, and promote career development for predoctoral PhD students, postdoctoral PhD and MD fellows, and early career faculty. Within this position you will work in collaboration with multiple PIs of training grants, schools and departments and administrative units within OHSU. You will be responsible for providing expertise and assistance on the preparation and submission of institutional training grant applications, progress reports and maintenance of institutional training programs. You would serve as a central resource for information on trainees and mentors, aggregating and curating the data needed to produce data tables and other required documents and keeping guides and templates current.

 

In collaboration with OHSU Information Technology Group (ITG) and other relevant staff, this position would be integral to developing the data systems and infrastructure necessary to provide efficient and sustainable support to NIH grant applicants and administrators. You would establish metrics for standard evaluation of programs, and would partner with university efforts to increase diversity recruitment to training programs. You would provide administrative guidance and help with post-award management. Within this position you will facilitate and monitor compliance with federal grant requirements, OHSU program requirements, and individual Departmental requirements, and works independently and consistently with the goals of the OHSU training grant directors.

Function/Duties of Position

Coordinate data and assemble information needed for new, renewal and progress reporting of NIH training grants (data assembly).

  • Develop and maintain operational knowledge of available public and institutional data sources for information required in NIH training grant applications and progress reports.
  • Collaborate with ITG staff to develop and maintain data infrastructure and systems for collection and collation of information used in preparation and submission of NIH training grant applications and progress reports related to faculty, trainees, postdoctoral fellows and scholars. Provide assistance to program administrators in generating full or partial data tables for NIH training grant applications and progress reports.

Provide administrative guidance and serve as a central resource of information to departments, trainees and faculty mentors.

  • Provide expertise in NIH NRSA grants policies including deadline tracking, knowledge of specific awarding requirements, expertise in navigating NIH (eRA Commons, xTract, xTrain) and other systems, detailed knowledge of training grant policies and procedures including payback agreements and RCR training requirements.
  • Provide expertise in institutional policies and procedures working in collaboration with departments and the office of post awards management regarding NIH NRSA trainee appointments including creating and maintaining a library of award letter templates and onboarding information.
  • Develop and provide expertise in NIH NRSA budget requirements and restrictions; provide assistance to departments in creating budgets for applications.
  • Establish metrics and tools for standard evaluation of programs.
  • Develop and maintain a centralized library of boilerplate text standard to training grant applications.

Promote NIH training grants at OHSU and activities supporting training grants.

  • Develop, maintain and communicate centralized, public-facing information on all OHSU training grants, including application information and reports of program accomplishments, as a tool for collaboration and recruitment.
  • Provide trainee recruitment outreach including efforts to increase diversity to training grants at OHSU in partnership with inter- and extra-institutional organizations.
  • Collaborate with OHSU programs to promote programmatic ongoing activities related to training grants, including career development and responsible conduct of research and mentorship training.
  • Promote cross-program collaboration of training grant PIs and administrators including coordination of meetings.

Required Qualifications

  • Bachelor's degree AND One year of grant/contract administration experience, OR
  • Three years of grants and contracts administration experience. OR
  • Equivalent combination of training and experience.
  • Note: Some positions may also require experience locating sources of available grant funds and developing programs that qualify for those funds.

  • Experience in budget development and financial management.
  • Excellent interpersonal skills to interact with faculty, and staff at all levels within OHSU and in the community with tact, diplomacy, and flexibility.
  • The ability to forge and foster collaborative working relationships and enlist the support of faculty and staff, both within and external to School of Medicine.
  • Excellent oral and written communication skills.
  • Ability to manage, prioritize and perform multiple tasks under conditions of fluctuating workloads, competing requirements, and changing deadlines; working independently while functioning within a team and following through on assignments with minimal direction.
  • Ability to analyze problems and offer creative solutions and implement changes.
  • Strong demonstrated organization skills, with the ability to understand overall program objectives and maintain attention to detail.
  • Demonstrated resourcefulness in data searches, collection and analysis.
  • Proficient with computers running Windows and PC applications, with an aptitude for learning new software data management tools and technology

Preferred Qualifications

  • Bachelor’s degree in biomedical sciences or related field.
  • Three years of relevant experience in data management.
  • Experience with submitting and managing federal research grants.
  • Experience with NRSA training grant administration.
  • OHSU institutional knowledge and experience working with NIH grants.
  • Writing and editing experience.
  • Experience in biomedical research.
  • Website management skills

Additional Details

Applicants must be willing and able to work occasional evenings and weekends; and sit and use a computer for several hours at one time. On-site or hybrid (on-site/remote) work schedule to be determined with supervisor.

 

Pay Range: $31.17 - $42.16 per hour
