Department Overview

The OHSU Department of Psychiatry, part of the OHSU Brain Institute, focuses on providing excellent clinical treatment to our patients, leading innovative research, and offering hands-on training for the next generation of psychiatrists. Our specialists care for people of every culture and background and it is our mission to value and show appreciation for diversity, showing respect for all people who we treat, teach, and serve. The Avel Gordly Center for Healing is one of the few practices in the Northwest that focuses on culturally sensitive care for the African and African-American community. We have a close collaboration with community partners to ensure that we reach a population who are under served. We recognize how trauma affects the health of our patients and we strive to remove the stigma that is associated with mental illness. We provide cognitive behavioral therapy, mindfulness based therapy, psychotherapy, and medication management. We have a diverse group of expert practitioners who provide individual, group, marital, couples, and family therapy.

 

The Practice Manager provides supervision, leadership, expert guidance, and training to the clinic support staff. This position is responsible for doing intake for the clinic and managing the clinic flow. The Practice Manager will represent the department in practice optimization and other process improvement, and quality improvement meetings, along with any other appropriate clinic-related meetings as needed, and will ensure implementation and alignment of all processes related to these meetings within the clinic in accordance with OHSU standardized guidelines. The Practice Manager will ensure adherence to OHSU policies and procedures for the clinic, including DNV and State regulatory agency standards and be responsible for general clinic, operational and facility management duties.

 

This position oversees operations for 12 providers with the Avel Gordly Center for Healing.

Function/Duties of Position

Personnel Management: Provide direct supervision, leadership, expert guidance, and training to the clinic support staff. Manage all personnel issues, including recruitment and training of support staff, provide oversight and monitor timekeeping/payroll, track employee health requirements. Conduct performance evaluations, mentor employees in career growth, as well as facilitate discipline and dismissal, if necessary.

 

Billing & Collections Management: Oversees and monitors the intake process for all patients, including overseeing the DAR daily, and making sure that template appointments are filled.  Clear 333 and 975 work queues daily and resolve any billing problems or issues that may be responsible for transaction backlog. Manages the outpatient coding and documentation processes. Manages departmental referral/authorization personnel and processes across the faculty practice sites to maximize the number of patient encounters that have proper referrals and authorizations. Answers questions from all department personnel regarding authorizations, coding, documentation and self-pay policies. Collaborates with UMG business partner and departmental leadership to develop and communicate action plans for resolving billing issues. Develops and implements policies and procedures that optimize and streamlines revenues. Trains staff and faculty in best practices. 


Regulatory Compliance: Oversees compliance at AGCH with all regulatory agencies, understands and ensures HIPAA compliance, and satisfies hospital and any other regulatory body requirements; acts as liaison between faculty and staff and the department and hospital. Audits faculty and residents for medical records compliance with hospital and regulatory standards. Reports back regularly to department leadership on all operations and compliance issues. Coordinates training of faculty, residents and staff in appropriate protocols and documentation and coding of services that generate billing. Works with coders on developing and implementing strategies to correct issues identified in internal audits.

Operations & General Management: Manages clinical operations and provides direct supervision, leadership, expert guidance, and training to those engaged in operational activities, facilitating efficient operations and clear protocols and procedures. Utilization of Oracle, EPIC, Cognos, CARS, BOBJ, etc. to run reports, maintain records and submit, approve and/or audit transactions. Attend all Division, clinic, department, and organizational management and operations meetings. Represents the department in practice optimization and other process improvement meetings. Ensures implementation and alignment of all processes related to practice optimization, process improvement, and quality improvement within the clinic in accordance with OHSU standardized guidelines. Ensure adherence to OHSU policies and procedures for the clinic, including DNV and State regulatory agency standards and be responsible for general clinic, operational and facility management duties as applicable. Maintain space, equipment, and furniture, utilizing facilities and construction as needed. Coordinate administrative support for faculty, counselors, and interns. Provides backup administrative, PAS or Managed Care support as required for smooth operations.

 

Strategic Planning: Collaborate with Medical Director, Clinical Director, and Quality Medical Director to develop a strategic plan for the Avel Gordly Center, including recruitment & retention, improve revenue on faculty practice, space review, and respond to all changes in health care environment. Collaborate and support initiatives and projects by running QI reports in collaboration with Medical Director, Clinical Director, and Quality Medical Director in accordance to OHSU action plans and guidelines. 


Other Duties: As assigned, in support of the mission of the clinic, division, department or OHSU at large.

Required Qualifications

  • Bachelor’s degree (Public Health or Business Administration or related field preferred).

  • 3 years supervisory experience in a healthcare or clinical setting, or equivalent education and experience. 

  • Demonstrated leadership skills; excellent interpersonal and written communication skills; ability to work autonomously. Working knowledge of mental health system and insurance reimbursement issues; excellent organizational skills; ability to actively and proactively manage multiple priorities; working knowledge of financial management/accounting; familiarity with computer hardware and usual office software programs.

Preferred Qualifications

  • Master’s degree (Public Health or Business Administration or related field preferred). 

  • Previous OHSU or Behavioral Health leadership experience.

  • Experience with reporting and quantitative and qualitative analysis.

  • Experience with EPIC or other patient information software. 

  • Demonstrated supervisory skills; familiarity with state and commercial mental health insurances; business knowledge of community and private practice mental health issues; familiarity with issues pertinent in an academic medical center. 

Additional Details

  • This is an in-person/in-clinic position. Ability to travel within tri-county area for meetings with contracted parties; ability to travel to/from OHSU Hill campus.
  • Ability to speak clearly, demonstrate patience and understanding of patients’ needs. Ability to explain complex, technical requirements clearly to patients, staff and providers. Ability to exhibit trauma informed care approach to interpersonal interactions. Ability to communicate effectively with diverse workforce with cultural competency.
    Must be able to deal with competing needs and priorities of patients and internal customers. Must be able to use personal computers, copiers, phones, and fax machine. Must be able to move around work area continually, lift up to 30 lbs. and carry 20 ft., continual keyboard operation and rapid mental/hand/eye coordination. This position works in a busy and sometimes noisy environment with many interruptions, multiple demands and people interactions.
  • Able to navigate all clinic space at downtown clinic and all Department of Psychiatry spaces at Hill locations.
