Department Overview

The Finance and Accounting Analyst 1 provides financial reporting, queries, data entry, and analysis support to the Department of Biomedical Engineering. Specific responsibilities include post-award grant reporting for a subset of investigators, projections reports, labor distribution, effort certification, variance analysis, and operating fund data entry; queries; reporting; and maintenance.

 

This position receives training and direct supervision by the department’s Finance Manager with a dotted line to the Department Administrator.

Function/Duties of Position

Post award support for federal and other department grants

  • Assigned to a subset (~10) of department investigators
  • Monthly financial reporting, queries, data entry, and variance analysis
  • Subcontract management
  • Grant budget F&A review and adjustments
  • Labor distribution and adjustments
  • Effort Certification Coordinator
  • Collects and maintains data required to complete annual progress reports
  • Tracks travel, submits reimbursement requests, and reconciles Pcards
  • Assists with POs, invoices, and invoices on hold 
  • Monthly financial reporting, queries, data entry, and variance analysis
  • Assists with F&A rate base year process (every 6-7 years) preparing grant allocations per mission/per lab/per person
  • Adheres to NIH and other Federal Grants Policies
  • Receives training and supervision from Finance Manager
  • Escalates complex issues to Finance Manager

Operating Fund Support

  • Monthly financial reporting, data entry, and variance analysis
  • Assists with preparation of annual department budget
  • Assists with capital inventory reports
  • Reconciles accounts, traces and investigates transactions to resolve questionable data, and takes corrective action.
  • Works with University, research, and foundation accounts.
  • Develops and maintains complex spreadsheets
  • Adheres to relevant OHSU policy

General Administrative Support

  • Backup and overflow support to Finance Manager
  • Expanded post-award support
  • Office and laboratory supply and equipment ordering

Required Qualifications

  • Bachelor’s degree in Accounting, Finance, or a related field from an accredited college or university; or equivalent combination of education and experience. Bachelor’s degree preferred. AND
  • Minimum of 1 year of relevant work experience
  • Depending upon the specific job duties, a position assigned to this classification may require the candidate to have 36 hours of accounting courses as described above, or an accounting degree, or demonstrate proficiency of accounting principles (e.g. GAAP). 

Job Related Knowledge, Skills and Abilities:

  • Prior Academic Health Center or relevant financial specific experience performing analysis related to operational improvements and business cases.
  • Proficient with use of PC including database and spreadsheet applications.
  • Proficient with spreadsheet skills, including simple functions, formulas, and formatting. 
  • Experience with relational databases.
  • Understanding of financial reporting concepts such as cost accounting and net present value analysis.
  • Communication and interpersonal skills including the ability to consult with internal and external customers regarding matters/issues which may be sensitive in nature.

Preferred Qualifications

  • Advanced skills in MS Office applications – Outlook, Word, Excel, PowerPoint, and Access
  • Proficiency in Oracle Purchasing, General Ledger, AP Inquiry, Requisition, Receiving, and OGA modules
  • Experience working with federally funded institutional training grants (T32s)
  • Experience providing administrative supporting in an academic environment

Additional Details

This position is located on the South Waterfront as well as hybrid work-from-home days. Work hours are within 7am to 6pm. Occasional evening work as needed to meet project deadlines. General office environment with frequent interruptions, noises and interpersonal interactions.
