Department Overview

The Department of Urology at OHSU provides care and treatment for all urologic conditions by nationally recognized physicians, each of whom has additional fellowship training in their respective field of expertise. We offer comprehensive treatment programs for everything from urologic cancers to kidney stones to medical services for male fertility. Subspecialties include: Transgender Health Program Kidney Stones and Endoscopic Surgery Urologic Cancer Men's Health Female Pelvic and Reconstructive Surgery Robotic & Laparoscopic Surgery Reconstructive Urology. This position is an integral part of the Department of Urology. This position directly supports the Department objectives of Clinical Care, Quality Assurance, Education and Research. This position is responsible for scheduling surgeries and related clinic visits in the OHSU Health System; obtaining insurance authorization and conducting related managed care activities; assisting with referral management; and triaging incoming calls; all activities are expected to be performed with the highest level of customer service excellence standards

 

Pay Range: $22.50 - $30.45 per hour

Function/Duties of Position

Administrative Support

  • Process incoming/outgoing faxes (labeling, records requests, upload refill requests, etc.)
  • Scanning
  • Process Inbasket (records requests, labs, imaging, message routing, etc.)
  • Patient paperwork management (questionnaires, FMLA, provider signatures, no-show letters, etc.)
  • Track and stock patient paperwork and brochures
  • Process incoming/outgoing mail
  • Use of Microsoft Office—Outlook
  • General high level clerical and project support
  • Document legibly, concisely and accurately

Clinical Support

  • Technical support (MyChart, Epic, office equipment, etc.)
  • Attends staff meetings/huddles
  • Inventory management including equipment—notifying appropriate personnel when cleaning and repair of equipment is needed
  • Instrument processing pick up/drop off
  • Check expiration dates
  • Turn over rooms/cleaning/stocking
  • Maintains knowledge of life safety, patient safety, fire and electrical safety and disaster plan
  • Sentact duties/compliance

Patient Experience

  • Monitors patient flow
  • Updates patient on delays
  • Provides excellent customer service
  • Addresses in-the-moment patient needs as directed
  • Maintains clean, safe, and orderly environment for patients, family, and clinical personnel

Professional Development

  • Attends education classes appropriate to job development
  • Uses consistent, professional communication with team members
  • Flexible coverage of internal service needs, and the continuous application of process improvement methods and skills
  • Receptive to feedback and coaching
  • Successfully completes the required initial training and core competency assessment before or during the trial service period

  • Completes all required modules and updates

Required Qualifications

  • Two years of general office or secretarial experience; OR
  • An Associate’s degree or certificate in office occupations or office technology and one year of general office or secretarial experience; OR
  • A Bachelor’s degree and one year of general office or secretarial experience; OR
  • An equivalent combination of training and experience.
  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. Contact Compensation for confirmation of eligibility.
  • Extensive computer skills including MS Office and Windows required.
  • Excellent customer service skills, and ability to multi-task in a fast-paced environment required.
  • Must be detail oriented and have good organizational skills.
  • Must be able to demonstrate excellent customer service skills and communication skills, including both written and verbal.
  • Must have good grammar skills.
  • Must have a demonstrable record of reliable attendance, punctuality, and proven successful performance at past and present employers.
  • Must be able to work both with a team and independently.
  • Ability to perform the job duties with or without accommodation.

Preferred Qualifications

  • Experience in a healthcare setting.
  • Experience working with an electronic medical record system.
