Department Overview

The Revenue Cycle Analyst assigned to manage Epic Hospital Billing Security and Training plays a vital role in a high-profile group tasked with improving revenue results by taking a global view of highly complex clinical and financial processes, functions and system interdependencies across the spectrum of patient care and enterprise business operations.

 

Provides technical expertise and direction in the analysis, design, build, testing and support of the Resolute and Charge Router Epic applications. Employs creative and innovative solutions to application specific and integrated workflows. Determines training requirements and implements security configuration necessary to ensure end users are equipped to perform critical job functions across the Enterprise Revenue Cycle.

 

Lead Hospital Billing Security Analyst. Coordinates and provisions Epic system application access for Hospital Billing and Enterprise Coding Teams across organizations. This position is also responsible to Hospital Billing related security for other users and teams. Acts as a consultant to other Security Leads to ensure proper Hospital Billing access for their users.

Serves as Lead Epic System Analyst for Hospital Billing application related build in the Training Environments. Works with other Application Analysts to provide a robust learning environment for end users.

 

Serves as the Principal Trainer for Epic Resolute Hospital Billing/Single Billing Office & Charge Router applications. Also serves as the Epic Upgrade Training/Communication Lead for Hospital Billing and Charge Router. Principal Trainer roles are essential to sustaining OHSU’s Honor Roll designation and grant award with Epic Systems Corporation.

 

Independently designs training programs, develops documentation, and delivers training and support to a variety of Epic users. Coordinates and provisions Epic system application access following trainee competency assessment. Leads integrated training projects to support overall revenue cycle operations.

Function/Duties of Position

System Analysis, Design & Development:

  • Perform system analysis, design, build, validation and ongoing maintenance of the complex Resolute (HB/PB/SBO) & Charge Router applications, to include:
    • Preserve a comprehensive understanding of how integrated Epic applications support revenue cycle workflows and processes.
    • Thoroughly document how Epic applications support these processes and provide documentation to staff and customers on integrated workflows.
    • Conduct and/or actively participate in workflow analysis and meetings to obtain system definition and process enhancement design approvals. Develop system or workflow conversions to meet specifications.
    • Collaborate with customers to make design recommendations based on feasibility and cost/benefit analysis to meet integrated requirements, act as revenue cycle consultant.
    • Identify pain points, establish action plans to meet core objectives, and employ validation processes before executing plans on target.
    • Work with analysts to perform both unit and integrated testing of Special Updates, Upgrades to new releases, and new Epic system applications, including developing testing scripts, documentation of testing and resolution of any issues identified. Ensure unit testing is updated to reflect current state workflows.
    • Provide mentorship to Subject Matter Experts (SMEs) and colleagues.
    • Complete system builds in various Epic System Masterfiles and Data Courier through Epic Development environments to the Epic Production environment under applicable protocols.
    • Responsible for the direction, design, build, and maintenance of the Epic training environments for affiliated training roles.
    • Keep core workflow documentation, materials and training environment build current and relevant throughout system updates, upgrades and/or workflow progression.
    • Create and disseminate change management documentation, presentations and training guides for staff to acclimate to system variation inherent in upgrades, updates and workflow renovation.
    • Provide billing and compliance subject matter expertise and consultation as requested. Make workflow and/or documentation improvement recommendations to support the revenue integrity of billable services.

Resolute Hospital Billing Security Analyst:

  • Act as the Epic Security Lead for Resolute Hospital Billing.
  • Responsible for security provisioning for PBS, Enterprise Coding and external business partner staff. Validate and/or provision security for department charge capture and management staff with revenue responsibility. Maintain authorized users of Charge Router Review Workqueues, HB Charge Review Work queues, and Account Work queues (BWQ).
  • Design, build and modify Resolute Hospital Billing security, Contract Management security, and Shared Security classes (ECL). Create and maintain security templates and subtemplates (EMP).
  • Create, maintain and troubleshoot User Roles (E2R), with associated Activities (E2N) and Menus (E2U), to ensure end users have access to perform key job duties in the Epic system.
  • Build and maintain certain Epic Department (DEP) elements, including the Department Profile (LPR) and Clinical Templates (LQT), which control the users’ view of the EpicCare chart.
  • Sustain a working knowledge of other application security configurations involved for users with complicated, interdependent security profiles.
  • Participate in Epic Security Work Group initiatives, official policy reviews, and provide a revenue cycle perspective in Standard of Practice (SOP) discussions. Engage the Integrity Office as necessary to ensure access is compliant.
  • Manage security initiatives and projects from the design phase through implementation and interact with key application business partners to develop integrated solutions. Organize and facilitate end-user testing of proposed system reconfiguration to assure minimal interruption of production workflows whenever possible.
  • Responsible for security analysis, design, build and validation of Resolute Hospital Billing security and User Roles for Community Connect partnerships. Coordinate Resolute Hospital Billing security provisioned in linked templates used to deploy access at client organizations.
  • Utilize innovative problem-solving techniques to analyze and remediate reported access issues in a time-sensitive manner to minimize lost productivity. Respond to access related Service Manager support tickets.
  • Coordinate the escalation and resolution of security issues with OHSU Epic application coordinators and Epic Technical Services support analysts.
  • Evaluate access integrity through periodic audits of revenue cycle security provisioned to OHSU staff. Take action to mitigate security risks and remove improper levels of access to protect the organization from the potential impact of user errors.

Resolute Hospital Billing/Charge Router Principal Trainer

  • Independently develop, maintain, and coordinate the delivery of all Enterprise Revenue Cycle training for the Epic Resolute (HB/PB;SBO) & Charge Router Applications. Includes instructor-led sessions, web-based materials, job aids and learning assessments.
  • Spearhead integrated training projects to launch important new revenue cycle workflows that incorporate new or existing external applications.
  • Manage training courses, registrations, and construct assessments in our Learning Management System (LMS): Compass.
  • Maintain Learning Homes Dashboard contents
  • Consult with PBS, Epic application teams and clinical department managers to identify operational gaps for charge capture/router entry and hospital billing processes. Amplify interdisciplinary and composite application training to optimize performance and results.
  • Provide post-training support to learners. Demonstrate resilience to change as a role model for staff.
  • Develop and/or review content management application or Learning Management System (LMS) technical specifications to support acquisition decisions.

SharePoint Administrator & Web-Content Management - Enterprise Revenue Cycle:

  • Serve as the primary administrator for the Enterprise Revenue Cycle (ERC) SharePoint site collection
    • Serve as the primary administrator for the Epic Learning site for Hospital Billing.
    • Define and direct site collection architecture, manage sub-sites, and design page layout and content views to enrich the user experience.
    • Establish Groups and assign Permission levels (SharePoint security features) applicable to Sites, Sub-sites, and content Libraries.
    • Create and upload current content to the site collection and Department, Team or Project sub-sites. Manage documentation and reference file properties and metadata to enhance the user interface experience.
    • Initiate new sub-sites and build libraries to support department, team or project needs. Conduct interviews with key stakeholders to design the layout and establish permissions appropriate for particular user groups.
    • Develop project management documentation and tracking tools to compliment various Enterprise Revenue Cycle initiatives.
    • Recognize and explore opportunities to further utilize the ERC Bridge site collection as a vehicle of communication and document/file sharing across different groups within the organization.
    • Collaborate with the SharePoint team and user group on projects involving new sites, workflows or features, as well as SharePoint application updates and upgrades. Participate in user group and other meetings for SharePoint administrators.
    • Lead future development of revenue cycle/PBS web content as the landscape of accessible and preferred technology platforms changes.

Certification/Professional Development & Customer/Team Support:

  • Achieve and maintain Resolute HB application administrator certification, Curriculum Development Certification, Training Environment Builder Certification, and complete New Version Training (NVT) on the required schedule. Engage in Epic training and certification opportunities to enhance technical skills when available.
  • Support the Revenue Cycle Team with various projects, communications, and other tasks as assigned and/or workload permits.
  • Support other teams/units within the Enterprise Revenue Cycle on special projects to help accomplish overarching objectives.
  • Take advantage of training opportunities to enhance leadership, technical and/or project management skills.
  • Demonstrate cooperation, adaptability, flexibility, effective communication and dependability in supporting team goals.

Required Qualifications

  • Master’s degree in computer science, a related field, or a clinical field & 4 yrs. work related experience in the IT field or a combination of clinical or operational healthcare environments;

  • OR Bachelor’s degree in computer science, a related field, or a clinical field & 6 years work related experience in the IT field or a combination of clinical or operational healthcare environments;

  • OR Associate’s degree in computer science, a related field, or a clinical field & 7 years work related experience in the IT field or a combination of clinical or operational healthcare environments;

  • OR 8 years work related experience in the IT field or a combination of clinical or operational healthcare environments;

  • OR Equivalent combination of education and applicable experience where one year of experience will be substituted for an associate’s degree and two years of experience will be substituted for a bachelor’s degree.

  • Working knowledge of hospital operations and the patient care process.
  • Expertise in Epic Resolute Hospital Billing application.
  • Current Epic Resolute Hospital Billing certification(s).
  • Compliance with Code of Conduct, Respect in the workplace and Applicable policies, procedures and agreements related to position, department or OHSU as a whole
