Department Overview

The Logistics Warehouse at South Waterfront and Marquam Hill are our primary medical supply picking and distribution staging points. The Macadam Warehouse, due to its healthcare focus, differs from a typical warehouse environment. It also handles linen distribution to the South Waterfront and offsite clinics. There is heavy use of picking software for order fulfillment confirmation, with limited use of pallet jacks and picking technology. Marquam Hill operates as a healthcare environment, with supplies originating from staging points at the loading docks. Staff working on Marquam Hill work within clean supply rooms on patient care units, where they restock, deliver, and support medical supplies and linen needs.

 

The Macadam Supervisor requires strong leadership skills to create and support a high-functioning team. They
will schedule, train, and motivate their team to ensure consistent attainment of processing schedules at
optimum productivity and cost levels. Responsible for coordinating and supporting the operations of the
department. They are responsible for managing a team of various staff members ensuring timely and accurate
inventory records, managing schedules, coordinating with vendors and carriers and ensuring compliance with
safety and security protocols. They will be responsible for analyzing data and making recommendations for
improvement.

Function/Duties of Position

Leadership & Administrative:

  • Building and maintaining a cohesive team that includes the enculturation of the Supply Chain and Logistics Vision, Mission, Values, and Values Proposition. Plans, prioritizes, assigns, and reviews the work and schedules of employees. Evaluates employee performance and complete performance appraisals. Evaluates and recommends discipline inaccordance with the union contract—Compiles success rates within the departments. Monitors Oracle requests for postage, supplies, and services.
  • This position is responsible for using proper account numbers, staying within the established budget, and adequately timing requests to prevent departments from running out of critical supplies. Creates and monitors invoice payments. Assists leadership with budgeting decisions and daily maintenance. Performs and monitors monthly billing. Monitors and suggests cost-saving measures. Monitors HIPPA violations, and suspicious mail, and corrects misuse or abuse of department services. Reviews documents and manuals for various compliance requirements.
  • This position is also responsible for recruitment which includes interviewing, hiring, and providing appropriate instruction and initial orientation to new employees.

Coordination:

  • Directs and oversees the work of employees. Schedules, assigns, and prioritizes workload tasks in a "cross/shared resource" environment to ensure that daily services provided to the OHSU community are completed in a timely and accurate manner. Monitors employees to ensure optimal flow of mail, parcels, and freight as required. Analyzes data and uses judgment in making independent decisions regarding the coordination of the employees.

Customer Service:

  • Identifies, Investigates, and resolves customer service issues as needed. Ensures all customer needs are met with a friendly and knowledgeable demeanor. Researches and identifies methods for improving/refining services provided to the OHSU community and external customers.

Process Improvement:

  • Researches, identifies, communicates, and implements process improvement opportunities that impact the work environment. This includes monitoring shipping, receiving, and mailing industry for new technologies/best practices appropriate for implementation within the departments as well as working with other OHSU and outside mail centers/agencies for maximum efficiency.

Other duties and projects as assigned by leadership

Required Qualifications

  • High School diploma or equivalent related work experience
  • Two years of Supply Chain supervision or management experience or lead worker experience; or an equivalent combination of training, education, and experience.
  • Dangerous Goods/Hazmat Certification
  • Forklift Certification
  • Valid Driver's license

Job Related Knowledge, Skills and Abilities (Competencies):

  • Must possess and demonstrate exceptional analytical and problem-solving skills.
    Must be customer service focused with the ability to analyze customer requirements and establish efficient methods of meeting their needs.
  • Excellent communication skills, professionalism, follow through, and excellent team skills.
    Must be proficient with Microsoft Office.
  • Must have strong time management skills to meet commitments and timelines.
    Must possess and demonstrate the ability to work within an established budget as well as assist in development of future budgets.
  • Extensive knowledge of USPS, FEDEX, UPS, DOT, CFR and IATA rules, regulations, and procedures.

Preferred Qualifications

  • 2 to 4-year degree specializing in Supply Chain Management.
  • Four years of supervision or management experience in a union environment.
  • Healthcare experience a plus
  • Valid Oregon CDL,
  • AHRMM Membership

Job Related Knowledge, Skills and Abilities (Competencies):

  • Proficient in use of Kronos, Oracle, and other OHSU systems.
  • Computer programming skills, database management, accounting.

Additional Details

This position works onsite at OHSU Monday through Friday from 7:00 am to 4:00 pm in a busy environment
with many interruptions, multiple demands, and people interactions. Must have the ability to be flexible in
work schedule and be available to work on short notice. The work environment is in a cubicle office, in a
warehouse or office environment, and the field in hospital and clinic settings with exposure to patients, lab
experiments, and other hospital-related situations and exposure to hot and cold weather elements and
moderate noise and dust. Must be willing to travel between all OHSU satellite locations and to off- campus
locations if needed. Requires work hours beyond standard office hours, as required. Some travel to industry
conferences, site visits, etc., is needed infrequently.
