Department Overview

This position provides lab-related and administrative support to the basic science departments at OHSU. The primary responsibility for this role is ensuring that Principal Investigators (PIs) and their respective labs have functional, well-maintained equipment. Other responsibilities include service contracts, surplus requests, capital inventory, space survey, and maintenance requests. This role also provides seminar, travel, and purchasing backup for the administrative team.

Function/Duties of Position

  • Perform/maintain common equipment maintenance, repairs, purchases, and service contracts. Train new employees how to correctly use common equipment. Work with OHSU Facilities on building maintenance and repairs. Serve as secondary point of contact (after lab contacts) on equipment and space including alarm monitoring. Participate in Fire and Life Safety training. 
  • Provide guidance to PIs and Department Administrators regarding renovations, space planning, building maintenance and repairs, fire code, surplus requests, and lab closeouts.   Serve as point of contact for faculty and research staff with questions and issues related to common equipment. Provide guidance to labs on equipment and other facilities issues. Serve as resource to new faculty on questions related to space and equipment. 
  • Work with vendors on equipment purchases/maintenance. Coordinate necessary teams (finance, vendors, DAs, facilities) for large equipment purchasing. 
  • Complete space survey (every year) and capital equipment inventory (every other year. Coordinate with various teams (DAs, finance, admin) to complete base year space survey (every 5 years). 
  • Provide back-up to administrative support team in the areas of seminar/event preparation, travel planning and reimbursement, purchasing card reconciliations, and purchasing. 
  • Complete OHSU-required trainings and updates including training related to the tasks outlined above. Maintain knowledge and skills in various OHSU systems. 

Required Qualifications

  • Depends on experience. See below.

  • Four years of general office or secretarial experience; OR

  • An associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR

  • A bachelor’s degree and two years of general office or secretarial experience; OR

  • An equivalent combination of training and experience.

  • Intermediate to advanced computer skills. Ability to learn new systems with training.

  • Team oriented, detail oriented, ability to problem solve.

  • Excellent oral and written communication skills.

  • Ability to exercise good judgment and initiative, ability to prioritize and organize workload. Capable in managing competing priorities.

  • Self-directed on responsibilities associated with the position.

Preferred Qualifications

  • 2-5 years’ experience working in a basic science laboratory.
  • Experience using Oracle for purchasing.

  • Experience with lab equipment maintenance and repair.
