Department Overview

Internal Medicine at Marquam Hill is located on the Main Campus. We see adults from the age of 18 on. We have a practice of Faculty Providers, NP as well as PA. We are a resident-based teaching clinic with 7 sub-specialties.

 

Provides leadership, expert guidance, and oversight for back office clinical staff consistent with operational

requirements and customer service philosophy of OHSU and the Department of Medicine. Provides input and

guidance for process improvement and customer satisfaction. Overall responsible for directing and coordinating the daily functions and duties of the back office, patient/clinician flow, compliance with regulatory requirements, ensuring education and training is up to date, HR management, scheduling (daily, weekly, and monthly), quality projects, safety for staff, patients, and visitors, and attending meetings. Provides back up support for clinical staff, including support for clinical support staff and providers. Partners with Front Office Supervisor to establish seamless clinic operations with patients, staff and clinicians.

Function/Duties of Position

  • Supervises back office staff and provides daily guidance in problem solving. Monitors successful completion of competencies, makes recommendations for salary increases, approved and assigns, and Care Coordinator, MA and Clinical Support Asst work. Works as back up for all the back-office functions. Works in concert with Practice Manager/Director to recruit, train, and counsel employees, develop work plans, participate in discipline up to and including dismissal. Facilitates evaluations and setting long and short term goals for back office staff. Enters and monitors staff schedules in Kronos timekeeping. Encourages a cohesive team approach to the day-to- day operations. Leads by example. Provides ongoing feedback to staff.
  • Monitors Clinical Operations: Manages clinician schedules, patient flow, wait times, quality, standard of care, and standard work. Recommends and implements operational changes as needed.

  • Assists in providing education and information to staff. Develops and distributes policies and procedures for clinic specific back office duties. Ensures continued education be made available for all staff members.

  • Responsible for staff schedules, balance of staffing on and off site, entering schedules into Kronos, monitoring staff for on time arrival and ill calls.
  • Provides high quality customer service to both external and internal customers to meet and/or exceed service standards. Serves as a role model for all clinical employees. Communicates with patients/familes, or other health care team members in a timely, cost efficient, and courteous manner.

  • Maintains and reports on EMR flow, quality, and stats to ensure patient satisifaction and prompt care with My Chart and charting in EPIC.

  • Responsible for monitoring, work flow development and training for pharmacy ordering and compliance, POC testing, Sentact/DNV readiness and compliance.

  • Meetings/Collaboration:

    • Attends, participates, and leads meetings including but not limited to:

      back/front office meeting, all team, quality improvement, labor management, lean, and others as directed by the Practice Manager.

    • Collaborates with the Practice Manager and other members of the leadership team.

Required Qualifications

  • 3 years’ back office clerical experience in clinical setting. Experience in prior authorizations, previous lead experience.
  • Current BLS on file
  • One of the following three:
    • Completion of a nationally recognized accredited medical assistant training program, including a practicum (externship) of at least 160 hours, OR
    • Successful completion of a formal medical services training program of the United States Armed Forces, OR 
    • Current Oregon Emergency Medical Technician (EMT) license (basic or advance) and national EMT registration with the National Registry of Emergency Medical Technicians (NREMT.)
      • For those completing medical assistant training or formal military medical services training as referenced above in #1 and #1, the following is also required (Those qualifying under the EMT qualification are exempt from this requirement.) MA certification received from a nationally recognized and accredited certifying body, upon hire or by the completion of the probationary period or internal job change evaluation period, as appropriate. Currently, these include:
        • The American Association of Medical Assistants (AAMA), awarding the Certified Medical Assistant (CMA.)
        • The American Medical Technologists (AMT), awarding the Registered Medical Assistant (RMA.)
        • The National Center for Competency Testing, awarding the National Certified MA (NCMA.)
        • The National Health Career Association, awarding the Certified Clinical Medical Assistant (CCMA.)
        • The American Registry of Medical Assistants, awarding the Registered Medical Assistant (R.M.A.) – for those qualifying through #2 above only.
    • Once a national MA or EMT registration/certification is obtained, it must be maintained for the duration of employment. In addition to receiving the appropriate certification noted above, Medical Assistants will be required to successfully demonstrate competencies prior to completion of probation or the internal job change evaluation period, as appropriate.

Job Related Knowledge, Skills and Abilities (Competencies):

  • Electronic medical records, scheduling, Microsoft Office Suite, exceptional customer service skills, multi-line phone system, medical insurance.
  • Managed care, medical terminology.

Preferred Qualifications

  • Bachelor’s degree.
  • 2 years’ management experience, scheduling, EMR, billing/coding.
  • 1 years’ personnel management experience- hiring, training, discipline, termination, budget management.

Additional Details

  • Available to work Monday-Friday on flexible schedules. Clinic open 7:30-5:00.
  • Exposure to ill patients.
  • Walking through clinics, working for extended periods at computer station.
