Function/Duties of Position

This position provides comprehensive administrative coordination for Neurology's medical student program, fellowship programs, and residency program. The role supports program directors, education manager, faculty, residents, fellows, and medical students by managing fellowship recruitment processes, maintaining schedules and training records, coordinating trainee evaluation processes, and contributing to accreditation reporting and program improvement activities. Working closely with the education manager, this position strives to achieve excellence in medical education program support, including the management of various virtual meetings and WebEx sessions.

Required Qualifications

  • High school diploma or equivalent required.
  • Minimum of four years of administrative or office experience, demonstrating proficiency in business operations and digital workplace tools OR Minimum of 2 years of experience in graduate medical education or higher education administration.
  • Demonstrated experience and working knowledge of medical student education and/or residency training program processes.
  • Advanced skills in Microsoft Office Suite (particularly Excel, Word, and PowerPoint).
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to interact professionally with colleagues and stakeholders.
  • Ability to work independently and as part of a team.
  • Critical thinking and analytical skills.
  • Ability to interpret and implement complex regulations.

Preferred Qualifications

  • Bachelor's degree preferred; or equivalent combination of education and relevant work experience.
  • Previous experience as a residency or fellowship coordinator.
  • Familiarity with ERAS, SF Match, and various fellowship match processes.
  • Experience with residency management systems (New Innovations, MedHub, etc.).
  • Experience in coordinating interview schedules and recruitment processes.
  • Proficiency in ACGME's Accreditation Data System (ADS).
  • Thorough understanding of ACGME Common Program Requirements and specialty-specific requirements.
  • Knowledge of graduate medical education policies, procedures, and accreditation processes.
  • Understanding of Clinical Competency Committee (CCC) and Program Evaluation Committee (PEC) functions.
  • Familiarity with the National Resident Matching Program (NRMP) and Electronic Residency Application Service (ERAS).

Additional Details

Flexibility with 40-hour work week between 7:00AM – 4:30PM, Monday through Friday. Schedule will fluctuate seasonally with multiple interruptions throughout the day, generally from visitors in person and by phone. Position operates in a professional hybrid environment with scheduled on-site days (minimum 3 days per week) to support in-person educational activities, meetings, and exams, complemented by remote work opportunities for administrative tasks and virtual coordination. Required on-site days include interview days, student orientation days, exam days, and departmental event days.

 

Ability to sit for extended periods of time, usually in front of a computer or conference setting. Ability to walk around campus for extended periods, including uphill.  Ability to work well in an environment that experiences interruptions. Must be able to utilize the tram. Duties include moving materials weighing up to 10 pounds on a regular basis and up to 20 pounds on an occasional basis.
