Department Overview

The PAS Specialist checks in patients at the Pediatric Specialties front desk and schedules and coordinates clinic and ancillary appointments for patients seen in the clinic. This position will be located on-site at the Marquam Hill Campus and is the first point of contact for potential and established customers over the phone and in person at the front desk. This position requires mastery of the entire scheduling, check-in, and check-out process including high volume phone work and Epic work queue and in-basket processing. This includes working the follow up queue, wait list queue, no-show report, reschedule report, referrals queues and in-basket folders. Ability to create Epic encounters and communicate with clinical staff is required. This position will be responsible for making outgoing calls and receiving incoming calls to schedule new and return patients.

 

This PAS will also be required to work at the Pediatric Specialties front desk checking in and out patients. The PAS will be expected to work at the front desk or the back office depending on the operational needs of the clinic. This role requires flexibility and includes backing up the front desk opener at times. On days when the opener is out sick or on leave it will be a requirement for this PAS to open the front desk at 7am. Prompt and professional communication with provider and RN teams is essential to ensure a positive experience for patients. Excellent customer service and communication skills are essential to succeed in this position.

Function/Duties of Position

  • Provides high quality customer service to both external customers (patients and families, referring providers and insurance carriers) and internal customers (OHSU and DCH providers, staff and employees) that meets or exceeds the service standards of the health care industry and OHSU/DCH. This duty includes prompt and professional communication efforts, exemplary phone etiquette, flexible coverage of internal service needs and a continuous, seamless, follow through.
  • Answer incoming phone calls on the clinic scheduling line
  • Processing in-basket message and work queue requests
  • Checking in and scheduling patients at the front desk
  • Makes outgoing phone calls to schedule patient appointments
  • Processing faxes
  • Other Duties as assigned

Required Qualifications

  • Six months of work experience in a medical office setting, including high volume direct patient contact OR
  • One year of work experience in a high volume direct public contact position.
  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. 

Knowledge and Skills Required:

  • Basic computer keyboarding skills including typing of 30 - 45 wpm.  

Preferred Qualifications

  • High School Diploma
  • Experience with high phone call volumes  

  • Experience working large referral and in-basket work queues.
  • Skills communicating and working with large specialized provider teams.
