Department Overview

This position is part of the health care team and utilizes their knowledge and expertise to support and enhance safety, patient experience, communications and efficiency on the Labor & Delivery Unit. The Patient Access Service Specialist, under the direct supervision of the Nurse Manager or Charge Nurse, performs general non-clinical duties and specific services necessary to expedite the efficient functioning of the nursing unit consistent with the philosophy, goals, policies and procedures in the nursing department and OHSU. The PAS provides problem solving and performance improvement assistance on the nursing unit. This position supports OHSU’s mission by providing high quality customer service to OHSU health care providers and staff that meets or exceeds the service standards of the health care industry.

Function/Duties of Position

Patient Registration/Admission

  • Gathers and/or verifies patient information including demographics.
  • Enters all information accurately into OHSU databases/Epic or into the medical record when necessary.
  • Works closely with admissions to ensure proper registration and accurate information on all new patients.
  • Prints labels, wrist bands and prepared newborn wristbands for all patients.
  • Admission of all infants born on the unit. Enters all information accurately into the OHSU database. 
  • Prepares and collates medical charts including all pertinent paperwork. 
  • Obtains past medical records as needed. 
  • Establishes permanent medical record on all newborns and new patients to OHSU health system via the Epic system.
  • Maintains logbook and census board to reflect patient activity on Labor and Delivery with prompt and accurate entry of all admissions, discharges, and transfers.
  • Notifies appropriate health care providers of new patient admissions and transfers; keeps other units abreast of status changes as needed.

Unit Support

  • Pages surgeons, Surgical techs, NICU and anesthesiologists for unplanned urgent surgeries or complicated deliveries..
  • Enters scheduled procedures in Epic electronic surgery scheduling procedure. Manages surgery schedule, identifies opening for surgery, and corresponds information to charge nurse, surgeons and anesthesiologist.
  • Arranges associated clinical, diagnostic, or laboratory services for mothers and newborns; maintains accurate nutrition care orders.
  • Makes bed assignments for new patients when charge nurse is unavailable; notifies appropriate care providers of patient arrival.
  • Acts as primary resource in all emergent situations and locates appropriate staff, equipment, supplies and any other needs.
  • Answers and triage: call lights and incoming phone calls
  • Assigns and manages RN paging system and Vocera staff assign
  • Scans appropriate medical records into the HIM system

Customer Service

  • Greets patients, visitors and others in a courteous, direct and efficient manner; provides complete and meaningful information.

  • Determines customer needs and directs inquiries to appropriate resource.

  • Demonstrates knowledge of hospital policies and federal laws regarding patient confidentiality.

  • Answers multi-line phone inquiries concerning patient condition and location. Directs triage calls to appropriate parties.

  • Updates patient records following treatment, faxes clinical update to primary care provider.

  • Contacts primary care physicians or their designees to obtain necessary information for appropriate patient care.

  • Directs patients to appropriate providers for other health care issues; directs or escorts visitors to other units as needed

Other responsabilites as assigned

Required Qualifications

  • Six months of work experience in a medical office setting, including high volume direct patient contact OR
  • One year of work experience in a high volume direct public contact position 
  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. 

Knowledge and Skills Required:

  • Basic computer keyboarding skills including typing of 30 - 45 wpm.
  • Strong written/verbal communication with diplomacy, efficiency
  • Ability to work independently
  • Experience in use of multi-line phone systems

Preferred Qualifications

  • Associate's or Bachelor's degree in business or other health care related field
  • Previous Obstetric experience
  • OHSU work experience
  • Experience using Epic Care systems
  • Fluent in Spanish Preferred
