Department Overview

The function of the PAS Specialist position within the Laboratory Services is to provide essential customer service support in the Physicians Pavilion (PPV). The PAS Specialist completes reception and scheduling tasks with the purpose of assisting, scheduling, and coordinating patient specimen collection and laboratory testing. The employee in this position promotes OHSU's mission statement by delivering high quality, cost effective, family-oriented service. All tasks and duties are performed with support and oversight by the Phlebotomy Management Team. This position helps to create a collaborative environment by integrating education, research, and clinical leadership. 

Function/Duties of Position

Customer Service:

  • Provide high quality customer service to both external customers (patients, referring providers, insurance carriers) and internal customers (OHSU health care providers, staff) that meets or exceeds the service standards of the health care industry.
  • This duty includes prompt and professional communication efforts, face- to-face and telephone customer contact skills, crisis management, familiarity with available information technology, standard complaint processing, flexible coverage of internal service needs, and the continuous application of process improvement methods and skills.

Point of Service Operations:

  • Greet patients. Create Medical Record Numbers and complete registration for new patients to OHSU, verify and update insurance, history, and demographic information. Enter all information accurately into OHSU databases or into the medical record when necessary. Review and release orders, to include any order reconciliation of discrepancies, ABN's, entry of comments on orders, and processing of manual lab orders. Prepare necessary paperwork and labels for phlebotomy specimen collection.
  • Verify orders using Epic and the Laboratory Information System (LIS). Place orders using LIS system when necessary. Order labels using Epic Order Entry or LIS.
  • Credits and results orders as needed. Receive outpatient collected specimens and hand out collection supplies and instructions. Assist in specimen collection as requested. Resolves cancelations, duplicates and re-ordering. Answers multi-line telephones, aids with clarifying orders, and notifying clinics of errors. Ensures a welcoming, clean, orderly and safe environment for patients checking into the laboratory.

Arranged Care:

  • Schedule patient walk-in appointments. Arrange stretchers, wheelchairs, and interpreter services when necessary, and accommodate other special needs whenever possible. Coordinate and call providers and patients for return collections.

Other Duties as Assigned

Required Qualifications

  • Six months of work experience in a medical office setting, including high volume direct patient contact OR
  • One year of work experience in a high volume direct public contact position.
  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience

Knowledge and Skills Required:

  • Basic computer keyboarding skills including typing of 30 - 45 wpm. 
  • Demonstrated excellent communication, telephone, customer service, prioritizing, and problem-solving skills
  • strong team building skills with staff, patients, providers, management; including communication and conflict resolution.
  • Demonstrated ability to be self-directed, organized, handle multiple complex transactions, and work in a team environment
  • Ability to initiate procedures and policies to improve work flow and work accuracy in Phlebotomy.
  • Ability to follow written and verbal instructions accurately.
  • Patient advocacy skills.

Preferred Qualifications

  • High School Diploma or equivalent.
  • 1 year of advanced college level education.
  • Nationally certified Phlebotomist
  • Certification as ASCP (PBT), NHA (CPT), RPT (AMT)
  • Experience as a phlebotomist working in direct patient care.
  • Two years’ experience in a medical and / or laboratory setting.

Knowledge and Skills

  • Epic experience including but not limited to transcribing orders, Laboratory Information System, Cadence scheduling, hospital scheduling, and registration experience.
  • Phlebotomy skills - prefer pediatric, adult, inpatient and outpatient experience

Additional Details

Positions in the laboratory environments may require working flexible schedules, including nights, weekends, and holidays; working at multiple laboratory or hospital sites; traveling between units and sites by stairs, elevator, tram, shuttle or other means; exposure to blood and body fluids, chemical hazards; wearing gloves and other Personal Protective Equipment for long periods of time.
