The Surgery Coordinator will be responsible for coordinating all aspects of the surgery program including the scheduling and authorization process for the comprehensive ophthalmology faculty and/or the Senior Resident under the direction of the Practice Manager. This will include, but is not limited to, obtaining all appropriate surgical indications from attending physicians, making decisions regarding appropriate scheduling of the department OR block time, obtaining accurate insurance information from patients in order to procure insurance authorization for the surgical procedure, and coordinating all aspects of the individual surgical procedure for multiple specialty-specific providers.

 

Pay Range: $25.86 - $34.95 per hour

Function/Duties of Position

  • The Surgery Coordinator will be responsible for all aspects of surgical scheduling for the Comprehensive Ophthalmology SOWA DIvision of CEI. This includes scheduling cataract surgery, and/or special cases for senior residents as the need arises. The Surgery Coordinator will actively manage block time on a daily basis for all assigned providers and adjust according to changing patient care needs. Surgery Coordinators are responsible for scheduling patients into dept block time, schedule all necessary equipment and required staff based on the surgical procedure, and ensuring that the providers provide the necessary documentation for all procedures.The Surgery Coordinator will be responsible for appropriately blocking out OR time based on the procedure indicated by the physician.  This requires an understanding of time lines (profiles) for individual procedures and individual physician surgical patterns. The Surgery Coordinator is responsible for scheduling of mainly, but not limited to cataract surgeries and should provide necessary coordination with other Providers/surgeons, and/or photography and/or lasers with other providers where indicated. The Surgery Coordinator will gather and verify insurance information from the patient or from the insurer.
  • Surgery Coordinator will work closely with the department billing/coding coordinator to obtain accurate coding information for the surgical procedure(s). The Surgery Coordinator must maintain a working knowledge of appropriate ophthalmic diagnosis and procedural coding. The Surgery Coordinator will confirm patient eligibility for the procedure and obtain insurance authorization from the insurer.
  • Surgery Coordinator is responsible for remote or if needed in person patient consultations as scheduled in clinic. Coordinates PMC appointments, medications, surgery times, post-op visits, insurance and lens payment. Surgery Coordinator is responsible for discussing the pros & cons of lens options including multifocal, accommodating and astigmatism correcting lens. This requires excellent interpersonal skills and knowledge of the surgical lenses.
  • Surgery Coordinator is responsible for meeting strict deadlines for surgical protocols for four physicians. Includes but is not limited to; Optime, ORA, EARL, Cadence, COVID Testing, ensuring order entry for medication drops, diagnostics and bed reservations.
  • Surgery Coordinator is responsible for all aspects of lens ordering and for surgical procedures and ensuring that lenses are available on surgery dates with coordination of the OR.

Required Qualifications

  • One year of experience in a medical office setting, including high-volume direct patient contact, scheduling of appointments and may require experience obtaining managed care authorizations (dependent on position description). OR

  • One and a half years of work experience in a high-volume direct public contact position and 6 months experience in a medical office setting. The candidate must have a thorough knowledge of PAS policies and procedures.

  • Candidates will have demonstrated advanced PAS user skills as well as extensive knowledge of integrated care at OHSU.

  • Basic computer skills including word processing. Windows applications, on-line scheduling, and a preference for data-base skills. Excellent verbal and written communications skills.

  • Strong customer service orientation.

  • Demonstrated effectiveness in confrontational customer interactions.

  • Knowledge of OHSU system software including Cadence, Earl and EpicCare, Order Entry, LCR, and electronic eligibility systems required. Knowledge of ORA and Optime.

  • Knowledge of, and skilled in, high quality customer service skills, knowledge of managed care policies/procedures, diagnostic services, inpatient/outpatient surgical services, and ability to work effectively with physicians and other health care professionals.

  • Requires knowledge and understanding of medical/ophthalmology terminology. CPT & ICD-10 experience.

  • Proficiency with MS Office (including Word, Excel, Outlook, and PowerPoint).

  • Previous work experience with on-line scheduling.

  • Knowledge of medical insurance, authorizations, and referrals.

  • Working knowledge and understanding of medical terminology.

  • Six months previous experience working with busy, multi-line phones.

  • Must have the ability to complete multiple tasks simultaneously; ability to work in a fast-paced environment; ability to manage competing priorities; ability to meet deadlines and urgent patient and system needs; ability to work independently; exceptional organizational skills; strong innovation skills and ability to apply computer knowledge and administrative experience to prioritize workload and increase efficiency of office procedures and practices.

  • Proven customer relations experience.

  • Strong relationship building skills with patients, health plans, providers, staff, management; exceptional customer service skills, both in person and on the phone; exceptional interpersonal skills - able to resolve conflicts and to problem solve between parties.

  • Patient advocacy skills - evaluate patient concerns for timely resolution; sensitivity to patient needs.

  • Demonstrated evidence of strong written and verbal communication skill; willingness to serve as a positive and professional role mode. Must have demonstrated record of reliable attendance, punctuality and proven successful performance in past and present.

Preferred Qualifications

  • Experience with surgical scheduling procedures, surgery authorization processes, hospital admission policies/procedures within an Ophthalmology setting preferred.

Additional Details

  • Work schedule will be Monday through Friday, hours to be determined by manager.

  • Employee must be willing to use public transportation as parking will not be provided.

  • Applicants must be able to stand or sit for long periods of time; able to bend, reach, lift and carry up to 50 lbs; have the ability to utilize computers equipment multi-line phones, pagers, intercom system, and office equipment.
