Department Overview

This position is independently responsible for high-level administrative, operational, and program management functions of the Teaching Services unit within the Undergraduate Medical Education (UME) program in the School of Medicine (SoM). This includes establishing and implementing all administrative guidelines, procedures and work timelines as well as direct supervision of Teaching Services staff. In addition, the position manages the resources, operating expense budgets, teaching facilities, technology, and space, and equipment needed to administer the FoM curriculum and preceptorships.

 

Position responsibilities focus on operational and strategic projects pertaining to the Foundations of Medicine (FoM) phase, which encompasses the first 18 months of the UME curriculum. This includes liaison work between block, thread and teaching faculty/directors and students to ensure the 7 blocks within the FoM curriculum are administered with effectiveness and efficiency. Includes oversight of all teaching modalities required to administer the FoM adult learner environment. Critical functions include working closely with the OHSU Office of Student Access and the Program Accommodation Liaison to meet student accommodations within the FoM phase.

 

The position provides high-level leadership within the UME program through strategic planning with the associate dean, assistant deans and director of UME, and other administrative leaders, on resource allocation and alignment with institution, school, and program targets. This includes meeting accreditation requirements set forth by the accreditation agency, Liaison Committee for Medical Education (LCME), most specifically tracking components to meet LCME accreditation standards as they relate to the FoM phase of the curriculum.

 

The position facilitates FoM student inquiries/requests, as they relate to UME policies and procedures. This requires working closely with the student affairs deans and FoM students to help problem-solve and navigate through processes.

Function/Duties of Position

Teaching Services Leadership and Operations Management:

  • This position is independently responsible for the daily operations and management of the Teaching Services unit.  This unit provides support to program leadership, teaching faculty, and medical students throughout the Foundations of Medicine (FoM) curriculum and administers the FoM blocks. The unit is also responsible for managing the Clinical Skills Labs, Preceptorship, Intro. to Preceptorship, Narrative Medicine, and other courses during the FoM phase.
  • The position is responsible for providing oversight and management of teaching facilities, equipment and other resources including educational space needs in the RLSB for UME. Leads the Teaching Services staff in the administering of end of block exams in the FoM Phase.
  • Oversees information dissemination for all Sakai sites and curriculum mapping sites (Ilios) pertaining to the FoM phase. Oversees the delivering of auxiliary materials to all medical students. Ensures timely creation of block syllabi, including assessment schedules, and acting as a liaison between administration, block leadership, medical students and staff.
  • Provides guidance to FoM student in their inquiries/requests, as they relate to UME policies and procedures.   • ensure relevant requirements set forth by the accreditation agency, Liaison Committee for Medical Education (LCME), are met as they pertain to administering the FoM curriculum. This includes tracking components to meet LCME accreditation standards as they relate to the FoM phase of the curriculum.
  • Collaborates with deans and block directors to communicate important news and updates to students, staff, and teaching faculty (inclement weather, public safety issues, building emergencies, updated policies with student relevance, etc.) pivoting classes to other locations or modalities as necessary. 

Administrative Leadership:

  • Recruits, trains, supervises, and evaluates Teaching Services staff members.  Responsible for supervising and coordinating office workflow within Teaching Services and ensuring proper coverage for all aspects of the unit which includes streamlining workflow and optimizing allocated resources to ensure efficiencies, assigning and approving work, completing performance reviews, conflict resolution, approving time off, and handling disciplinary action for the Teaching Services staff.
  • The position is responsible for operating as a liaison between block directors and teaching faculty and the Teaching Services staff to ensure course materials, content, equipment, and room setup are appropriate as required.
  • Works closely with OCIC, CAP, Title IX, Provost’s Office, and Office of Student Access regarding medical student issues and accommodations. Works closely with the Program Accommodations Liaison (PAL) in implementing processes to meet medical student accommodation needs.
  • Serves as a member of the Foundations of Medicine Subcommittee, the SoM Education Leaders Group, and the Dean’s Office Managers Group. Serves at the national level as a member of the Coalition for Disability Access in Health Science and Medical Education and as the UME ExamSoft Administrator. Serves as a member of the UME Wellness Task Force, which is tasked with designing and implementing activities to promote employee engagement and wellness.
  • Serves as a member of the UME Entrustment Group which is tasked with reviewing students’ progression in fulfilling all competencies required for graduation and badging for Entrustable Professional Activities (EPA's).  The group tracks and evaluates all medical students (~650) and awards badges for EPA fulfillment, as students advance through the program. This requires review of student's Workplace Based Assessments (WBA's) and course evaluations from Foundations of Medicine and Clinical Experiences phases of the curriculum.

Critical Analysis and Strategic Planning:

  • Works alongside UME leadership, including the director of UME and fellow unit managers, to identify opportunities for streamlining of operations and allocation of resources across units, to ensure operational efficiencies within the UME program. 
  • Provides the SoM and the university with historical perspectives and insights for purposes of strategic planning, and budget allocations.

Technical Advisor:

  • Oversees the troubleshooting of computer & AV issues to ensure medical student activities run smoothly on a daily basis. Ensure exam/grades and course management systems are operating effectively and the process for providing exam/grade results to other UME systems is operating smoothly (i.e. Examsoft, AnatomyHive, Sakai, REDEI).
  • Serves as a member of the university-wide Academic Technologies Working Group, which is tasked with determining what academic technologies will be used campus-wide. This is a subgroup of ASAC.
  • Advisory to UME leadership regarding Teaching Services technology needs and enhancements to the FoM adult learner environment and oversees captioning of all FoM lectures and course materials, including training of other UME staff and teaching faculty on processes and procedures.

Fiscal Oversight:

  • Works with the director of UME and finance group to establish yearly operating expense budget for the UME Teaching Services Course and Teaching Services Administrative budgets.  Monitors expenditures and analyzes budgetary data for Teaching Services unit and staff.
  • Budgetary responsibility for all equipment contracts, purchasing for the unit, and p-card reconciliation of purchases. 

Required Qualifications

  • Bachelor’s Degree 

  • Minimum 5 years of applicable experience, 2 years of management experience.

  • Demonstrated successful leadership managing people and programs.

  • Ability to diplomatically discuss sensitive subject matter and remain calm in the face of competing demands.

  • Excellent forecasting, analytical, critical thinking, and problem-solving

    skills.

  • Excellent attention to detail; successful demonstration of experience working independently in detail-oriented capacity with proven record of accuracy.

  • Well-versed and developed technology skills (i.e Microsoft Word, PowerPoint and Excel,)

  • Demonstrated successful work experience with exam/grading and course management systems (i.e. Examsoft, Sakai, AnatomyHive).

    Successful demonstration of positive teamwork attitude.

  • Demonstrated professionalism and integrity.

  • Excellent organizational skills and ability to multitask in a fast-paced environment.

  • Demonstrated ability to be flexible regarding job assignments and support for other colleagues as needed.

Preferred Qualifications

  • Master’s Degree or equivalent work experience
  • Experience coordinating and managing all aspects of a fast-paced medical education process.

  • Experience managing professional staff and working with medical education faculty & medical students within a medical education environment.

  • Experience working with human body and animal specimens.

  • Experience with facilities & equipment management.

  • Experience working with laboratory equipment and materials, audiovisual equipment and computerized teaching programs.

  • Experience with researching and purchasing equipment required for teaching programs which includes lab products and machines.

  • Working experience with database systems.

  • Demonstrated successful experience with conflict resolution.

  • Demonstrated successful work experience with Qualtrics and FormAssembly.

  • Demonstrated successful independent work experience, knowledge and understanding of databases and database management.

Additional Details

Office setting and some remote work when possible; flexible work hours with some early morning and late evening meetings as needed. Must be able to work extended hours and sit/stand while working at computer for extended periods of time. Must be able to multi-task in a fast-paced work environment with high traffic of students and faculty. Minimal travel.
