Department Overview

The Section of Allergy and Immunology at Oregon Health & Science University is seeking an experienced and dynamic Program Manager to lead and support operations, research trial coordination, and community outreach initiatives. This individual will play a pivotal role in advancing the section’s mission through operational excellence, strategic planning, research facilitation, and community engagement—especially as a key member of the Burghardt Food Allergy Center.

 

The Division of Pulmonary, Allergy, and Critical Care Medicine (PACCM) provides expert diagnosis and care of patients with lung diseases in our Pulmonary Clinic; allergy, asthma, and immunologic disorders in our Allergy Clinic; and of critically ill patients in our Intensive Care Unit. As part of PACCM, the Sleep Medicine Program provides collaborative care for patients with sleep disorders. In addition to our commitment to outstanding clinical care, PACCM is home to several outstanding research programs, conducting basic science research as well as clinical trials across a broad spectrum of subject matter. Our educational mission includes teaching on many levels, including but not limited to our fellowship programs in Pulmonary, Allergy, Sleep, and Critical Care Medicine. Function/Duties of Position

Key Responsibilities & Performance Standards

 

Program Administration

  • Coordinate with the division administrative manager and administrative director regarding operational and strategic section and Center administration, including but not limited to the following:
  • Oversee daily operations of the Allergy and Immunology section to ensure high-quality, efficient patient care.
  • Manage staffing schedules and ensure adequate coverage for faculty and staff.
  • Coordinate onboarding, training, and professional development for faculty and staff.
  • Optimize workflows to align with key performance metrics (e.g., patient access, wait times, patient satisfaction, visit volumes).
  • Implement quality improvement initiatives and lead process improvement projects to enhance patient experience and clinical outcomes.
  • Serve as liaison between the Section and other departments.

Research Trial Coordination

  • Collaborate with Division and Department research teams to implement and manage clinical trials within the Section.
  • Collaborate with Divisional research administration to support regulatory submissions, including IRB applications and maintenance of study documentation.
  • Coordinate with Divisional research administration to facilitate patient screening, recruitment, enrollment, scheduling, and follow-up for clinical trials.
  • Serve as primary point of contact for sponsors, CROs, and regulatory agencies during trial start-up and monitoring visits.
  • Coordinate with Section Principal Investigators to ensure compliance with Good Clinical Practice (GCP) guidelines and federal research regulations.

Community Outreach and Engagement

  • With leadership, create a list of high priority needs and future direction of the Burghardt Food Allergy Center.
  • Develop and strengthen relationships with community stakeholders, with a focus on food allergy education, awareness, and prevention.
  • Support outreach activities, events, and advocacy efforts for the Burghardt Food Allergy Center at OHSU/Doernbecher.
  • Establish and maintain online content for the Center.
  • Create and manage community patient registry
  • Coordinate Section and Center involvement at community health fairs, school programs, and public forums to raise awareness of allergy and immunology services.
  • Engage with industry sponsors in securing funding for the center as a whole and for individual projects.
  • Manage volunteers involved in CLEAR projects.
  • Collaborate with marketing and communications teams to disseminate educational materials and promote services.

 

Required Qualifications

  • Bachelor’s degree in business administration, communication, or relevant field
  • Minimum 5 years of experience in a program management role, preferably in an academic medical center
  • Demonstrated experience in operations, team leadership, or project coordination.
  • Familiarity with clinical trial operations and research compliance regulations (e.g., IRB, HIPAA)
  • Strong interpersonal and communication skills with the ability to collaborate across departments and with community partners.
  • Proven ability to manage multiple priorities, meet deadlines, and solve problems independently.
  • Proficiency in Microsoft Office Suite

 

Preferred Qualifications

  • Master’s degree preferred (MPH, MHA, MBA, or related)
  • Prior experience in allergy, immunology, or pediatric subspecialties
  • Experience with Epic and research management platforms (e.g., REDCap, IRB systems, etc.)
  • Certification in Clinical Research Coordination (e.g., ACRP, SOCRA)
