Function/Duties of Position

The School of Dentistry Dental Treatment Coordinator, RSC, is responsible for the coordination of dental treatment financial planning with patients. This position is responsible for explaining and disseminating policies and information regarding treatment fees, payment options, and financial responsibilities to patients, staff, faculty, and providers in the Faculty Dental Practice. The Dental Treatment Coordinator will develop policies and procedures on communicating financial expectations to patients, best practices regarding the presentation of insurance payments and patient portions, and creating or improving treatment plan workflows in axiUm as needed. This position will also serve as our CareOregon liaison and Medicaid specialist. Working with patients and their insurance to maximize benefits and return patients into care.

 

The Dental Treatment Coordinator, RSC, will oversee the entire administrative process of informing patients about their treatment fees and confirming payment options prior to dental treatment. This position will work with Managed Care Coordinators to verify insurance information, Providers to confirm treatment information, and Patient Access Services to validate payment options and schedules. This position will be solely dedicated to RSC, and physically in the RSC clinic. This position will report to the RSC Clinic Manager and have training and ongoing support from our current Dental Navigator. This role will be working with the clinic manager, dental navigator, all RSC providers, as well as SOD specialists, and outside specialists for referral coordination. They will also work with SOD personnel to provide clear, concise, and correct information to patients when applicable.

 

In order to improve communications regarding finances, insurance and treatment to patients in the Russell Street Dental Clinic, this person will create patient communication materials and standard work for staff or providers as needed.  This position has frequent patient contact to communicate information including balances owed, payment options, advice, as well as in-person consulting to answer questions about financial issues.

 

To be a successful Dental Treatment Coordinator, this person should be able to work independently and as a member of a team, including training and leading others in all elements of treatment coordination. Knowledge of patient flow and back office functions are required. The Dental Treatment Coordinator will be expected to have strong relationship building skills, excellent communication skills, exceptional customer service skills, and be highly sensitive to patient needs.

Required Qualifications

  • Four years of general office or secretarial experience; OR an Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR a Bachelor’s degree and two years of general office or secretarial experience; OR an equivalent combination of training and experience.

 

  • Proven interpersonal problem solving and conflict resolution skills.
  • Proven ability to think at a systems level while performing detailed work.
  • Knowledge of financial practices and workflows in a healthcare setting.
  • Basic computer skills including word processing. Windows applications, on-line scheduling, and a preference for database skills. Must be proficient in Microsoft Excel.
  • Demonstrates exceptional customer service skills with the ability to handle difficult people and situations with diplomacy and tact.
  • Demonstrated ability to read, write and understand written and oral instructions in English.
  • Demonstrable record of reliable attendance, punctuality and proven successful performance at past and present employers.
  • Ability to work autonomously, with a high level of accuracy, speed and exhibit a willingness to work with deadlines.

Preferred Qualifications

  • Additional graduate degree
  • Experience working in a dental clinic setting
  • Experience with high volume of data entry and demonstrated ability for accuracy.
