Department Overview

The Respiratory Therapy Administrative Coordinator (AC) performs and coordinates advanced technical or administrative related tasks. The AC emphasis is on advanced technical knowledge and coordinating administrative work or activities to ensure a smooth flow of services and operations. This position focuses specifically on administrative support to the leadership team, respiratory staff, and the PAS coordinator in diagnostics. Performs Kronos scheduling and time corrections/timekeeping.

 

In addition, this position coordinates important systems such as OHSU information systems, timekeeping/ payroll, Oracle, office supply purchasing, Schedules, interacts with customers, answers phones and provides administrative support to multiple locations. Provide guidance and education to PAS employed in other ORGs. Perform clinical operations monitoring, including investigating clinic scheduling errors, patient volume and flow, unkept appointments and rescheduling.

Function/Duties of Position

Respiratory Staff Scheduler: Maintains accurate schedules in Kronos for Respiratory Services departments following the AFSCME Collective Bargaining Agreement (CBA), and resourcing respiratory leadership, Labor Relations and Human Resources as needed. To include:

  • Managing vacations, leaves, trades, and orientation entry for staff as directed from leadership and education team to Kronos.
  • Publishing schedules in Kronos following the CBA.
  • Awarding shifts in Kronos following the CBA and resourcing leadership when needed.
  • 6-month vacation calls and data entry to Kronos. 
  • Serves as backup for the project coordinator with inventory and ordering of office supplies and materials, utilizing OHSU computerized purchasing keeping to available funds in budget.

Department Timekeeper:

  • Supports all ORGs in the respiratory services department. To include: 33011- Adult services, 33012- Pediatric services, 33021- Diagnostic services.
  • Investigates and makes any needed corrections to timecards following the time correction forms and leadership directives. Verifies and processes OT, Protected Leaves, ANI/ONI.

PAS Support:

  • Schedule appointments for both new and returning patients via telephone.
  • Create new patient charts and enter orders for Pulmonary Function Tests (PFTs).
  • Confirm patient appointments and coordinate daily with multiple departments to align PFT testing with patient itineraries. 
  • Collaborate with insurance companies to verify CPT codes and with outside medical facilities to coordinate patient care. Responsibilities also include coordinating inpatient testing.
  • Expect a high volume of requests received through phone, Microsoft Teams, and the Epic system.

Other Duties Assigned by Department Senior Director, Managers, or PAS Coordinator. Demonstrates an understanding of current and all new care programs and equipment as they pertain to this position.

Required Qualifications

  • Four years of general office or secretarial experience; OR 

  • An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR 

  • A Bachelor’s degree and two years of general office or secretarial experience; OR 

  • An equivalent combination of training and experience.

  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.

Job Related Knowledge, Skills and Abilities (Competencies):

  • Managing multi-line phone, software programs
  • Microsoft Word, Excel.
  • Timekeeping/payroll
  • Able to prioritize work and communicate effectively.
  • Basic computer keyboarding skills including typing 30-45 wpm

Preferred Qualifications

  • Kronos –timekeeping experience
  • Epic Scheduling (Cadence)
  • Epic Cadence certification, MS Office Certifications
  • Oracle
  • Knowledge of OHSU’s PAS policies and procedures, with completed PAS training and core competencies, and with previous PAS experience

Additional Details

Monday, Wednesday, Friday 08:00 - 16:30 onsite at Marquam Hill Respiratory Department. Tuesday, Thursday 7:00- 15:30 remote supporting PAS coordinator in respiratory diagnostics. May be exposed to respiratory/ airborne pathogens, and noisy care environments.
