Department Overview

The main objective of this role is to furnish customers with essential goods and services vital for their job functions, thereby supporting the overarching mission of OHSU in healing, teaching, and discovery. Typically, this role involves leading a designated logistics operation, ensuring the timely completion of all daily tasks.

 

When designated by management, the Senior Property Specialist assumes responsibility for ensuring that logistics staff adhere to organizational guidelines and policies. Regular communication with both customers and staff, utilizing mediums such as email, Vocera, phone, Microsoft Teams, or any other organizational communication channels, is necessary to address and resolve any issues that may arise. Key responsibilities include overseeing and supporting daily supply automation systems, medical supply delivery, restocking and maintaining point of use and scrub dispensing machines, as well as addressing other concern that ay be asscioated with departmetn operatins. 

Function/Duties of Position

  • Daily activities include assisting with restocking and maintaining point-of-use and scrub dispensing machines supporting daily operations supporting both daily operations and the needs of inpatient and outpatient areas applying the best inventory practices to ensure consistent supply availability.
  • Customer Service: Identifies and resolves customer issues and utilizes proper steps for resolutions or escalates issue to appropriate personnel. Keeps up-to-date on customer alias and department location. Answers and triages customer calls.
  • Inventory Control/Purchasing/Quality Checks: Monitors, counts, and reports restocking and delivery activities; evaluates issue quantities to meet customer needs. Conducts random quality checks of supplies including receiving, data entry, picking; restocking, delivery and utilization. May be responsible for billing to individual units for supplies used.
  • Transports: Safely operates employer owned vehicles; delivers supplies, maintains and refuels vehicles; maintains driver’s log and completes inspections reports. Maintain vehicle equipment such as tire chains and jacks. Performs emergency roadside service such as changing a flat tire.
  • Other duties as assigned.

Required Qualifications

  • Experience performing stores and inventory work; AND
  • Training or experience providing knowledge of inventory control systems, and transportation agencies and shipping methods.
  • Requires current driver’s license and driving record that meets OHSU’s driving requirements.
  • Knowledge of spoken and written English at the high school graduate level.
  • Must be able to maintain compliance with organizational guidelines and policies.
  • Conflict resolution skills and the ability to demonstrate effective time management.
  • Must have effective communication skills, both oral and written, have and maintain a working knowledge of computer operations to include checking and using electronic mail, must be able to adapt to changes in the work environment and related assignments, and must be committed to the task at hand.
  • Experience and/or understanding of stock on hand and min/max counting, including rotation of stock and expiration checks.

Preferred Qualifications

  • High School Diploma or GED.
  • Working knowledge of hospital materials management distribution systems.
  • Medical supply familiarity, knowledge of OHSU systems, and medical terminology is preferred.
  • Applying inventory management by understanding how to set min/max’s.
  • Experience using handheld counting devices, point of use systems, and proficient with Microsoft Office.

Additional Details

Employee may be exposed with a health care setting to dirty linen while performing duties, hazardous items such as IV Fluids, Cidex, etc. which may be handled by employee. Appropriate safety precautions are taken before handling any hazardous/dirty items. In this position, you may be required to work in locations exposed and/or affected by: weather elements including rain, hail, snow, heat, humidity and wind; fluctuating noise levels; dust; vibrations and on occasion wet/slippery areas.
