Department Overview

This position performs and coordinates a variety of advanced technical and/or administrative tasks related to

the Oregon Center for Nursing (OCN) RENEW grant, funding period 2025-2027. The person in this position will coordinate all grant operations, maintain relationships and coordination with all key stakeholders. The person will maintain project records in appropriate databases and files and support preparation of reports. The person will assist in data dissemination and keep project Teams site and training resources up to date.

Function/Duties of Position

Coordination

  • Develops procedures, systems, and forms necessary to achieve grant objectives; disseminates information to grant team, stakeholders, and the public; plans and coordinates grant-related meetings, training and travel. Participates in and reports on project activity. Tracks purchases. Maintains project records and files. Coordinates with post award grant specialist. Implements administrative processes necessary to facilitate program evaluation and data analysis; coordinates grant-related information needed for OCN reports. Performs assigned lead work duties.

Administrative Assignments.

  • Receives and reviews project related documents related to grant team and funding source. Collects data and prepares reports; compiles statistical information related to program success and performance; participates in budgeting process, develops detailed reports on monthly, quarterly, and annual basis. Assist in developing and dissemination of all grant-related informational resources. Schedule and support grant team meetings.

Other Duties as Assigned

Required Qualifications

  • Four years of general office or secretarial experience; OR 

  • An Associate’s degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR 

  • A Bachelor’s degree and two years of general office or secretarial experience; OR 

  • An equivalent combination of training and experience.

  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. Contact Compensation for confirmation of eligibility.

Job Related Knowledge, Skills and Abilities (Competencies):

  • Problem solving, time management, communication, interpersonal skills, teamwork, attention to detail, proficient computer and MS database management.

Preferred Qualifications

  • Experience with administrative/business office operations in an academic, healthcare or other medium to large organization.

Additional Details

The work schedule and location are flexible. Working hours need to align with grant timeline and team needs.

Occasional travel may be required for meetings/events.
