Department Overview

The program is responsible for managing all aspects of medical student education, including the admissions process, advising, outreach, curriculum, student services and activities, academic scheduling, grades and course support.

 

Pay Range: $31.79 - $42.97, Commensurate with Experience

Function/Duties of Position

  • This position is responsible for independently coordinating all aspects of assigned Foundations of Medicine (FoM) blocks for the first 18 months of the medical school curriculum, which could include any of the following: Fundamentals; Blood and Host Defense; Skin, Bones and Musculature; Cardio, Pulmonary and Renal; Hormones and Digestion; Nervous System and Function; and Developing Human. This includes coordination of all in-person and remote learning sessions for the assigned blocks, coordination of daily course/block and assessment schedules, set-up of all in-person and remote classes, overseeing of small groups and lab attendance, coordination of patient panels, gathering faculty teaching materials, and assisting in the preparation of each block syllabi. This includes collaboration with instructors, block and thread directors on curriculum schedule, scheduling instructors, and working to ensure timely material submission by all teaching faculty. Coordinates WebEx, and/or Echo360 meetings/session recordings for remote or in-person learning. Coordinates classrooms and equipment as needed for in-person labs and activities. Incorporates new classroom technologies as needed to administer curriculum. Works in collaboration with the other Teaching Services team members to fulfill other programmatic duties needed to administer the FoM curriculum.

  • The position builds course sites on Sakai, gathers and populates course materials, including information for students and instructors in preparing for assigned block assessments. Serves as liaison between students and faculty for troubleshooting issues with course materials and works with team on improving curriculum delivery in response to student feedback. 

  • Administers and creates assessments in exam database, and oversees all logistical aspects of the assessment process for assigned blocks, including proctoring and troubleshooting student issues. Gathers and conveys all necessary information on assessments to students. Monitors professionalism of both students and faculty.
    Includes tracking anatomy lab and small group student attendance as necessary, tracking timely completion of assessments by students and reporting any concerns to administrative manager, assessment team, or block directors as appropriate. 

  • Maintains Ilios site for student scheduling, for tracking of session and course objectives for the UME curriculum map, and for feeding into the faculty evaluation system. This position is responsible for working closely with the Teaching and Learning Center to generate accurate teaching evaluations. Maintains student daily schedules, including assessment schedules, ensuring students have all needed logistical information.

  • Other duties as assigned by the administrative manager, UME Teaching Services. This includes staffing or attending weekly block meetings, town halls, block planning meetings, block kickoff meetings and FoM Sub-Committee meetings, back-up reception duties, and troubleshooting A/V issues for various small groups, clinical skills labs, lecture halls, remote sessions and other instructional environments for the medical school curriculum. Assists faculty and students with technology/software/equipment as needed to administer the curriculum. 

Required Qualifications

  • Three years of experience administering or coordinating parts or subsets of a project or program. 

  • A bachelor’s degree in Business Administration, Management, Public Administration, or a field directly related to the position will substitute for two years of the required experience.

    • Note: preference in hiring may be given in a special area specific to the position opening.

  • Experience working in a curriculum support area for secondary or higher education.

  • Experience working with professional school curriculum.

  • Experience working with a Learning Management System or Software.

  • High degree of accuracy and attention to detail; demonstration of successful experience working in an extremely detail-oriented capacity.

  • Demonstrated successful work experience with Microsoft Office 365 (Excel, Word, One Drive, Teams, PowerPoint, Outlook), WebEx, and Adobe Acrobat.

  • Successful working knowledge of A/V equipment used in lecture halls and in small group environments.

  • Demonstrated professionalism and integrity.

  • Excellent interpersonal skills, and the ability to work with diverse groups; students, faculty, staff, IT group.

  • Excellent organizational skills; ability to be self-directed and set own work priorities.

  • Successful demonstration of positive teamwork attitude. Ability to work effectively as a team member.

Preferred Qualifications

  • Bachelor’s Degree
  • One of the required years must have included administration or oversight of an on-going project or program.

  • Experience working in a curriculum support area for medical school education.

  • Experience working with medical school curriculum.

  • Experience working with higher education faculty and curriculum development and assessment.

  • Experience with web-based learning management systems as well as web-based platforms and classroom technology tools.

  • Experience working with ExamSoft, D2L, Sakai and Ilios.

  • Demonstrated successful work with Qualtrics, Smartsheet, Echo360, Blue, and A/V equipment. 

  • Demonstrated successful work experience with troubleshooting basic issues with technology/software/A/V equipment.  

Additional Details

Must be able to handle exposure to cleaning products and animal tissues. This is a hybrid position. Must be able to work in the RLSB, occasionally traveling between buildings on the South Waterfront and Marquam Hill, or remotely, over WebEx and Teams as needed. Work schedule Monday thru Friday, flexible to meet curriculum requirements, but typically 7:30am – 4:00pm. Must be able to multi-task in a fast-paced work environment with high traffic of students, faculty, staff, and general public.
