This position provides comprehensive coordination of services for the Pediatric Pulmonology/CF/Sleep Medicine Practices. This position is responsible for being a liaison between the OHSU providers and patient families, contacting patients to arrange scheduled care post hospitalization or post clinic. The position is responsible for coordinating all services related to scheduling including procedure and all insurance verification and authorization tasks. Meeting specific metrics on a large volume work queue is essential for success in this position. Excellent customer service skills and professionalism are a requirement in this position.
Work Schedule is Monday-Friday, hours TBD, primarily telework; potential for work from campus.
Provide excellent customer service over the phone and when required in person. Assist patients with scheduling new and follow-up appointments, ancillary services and procedures in compliance with the work queue metrics. Reach out to patients who have been referred for procedures within 24 hours of the provider submitting the referral.
Schedule procedures into Epic (OpTime) and Ipath. Contact patients after clinic to schedule procedures or diagnostics in compliance with the work queue metrics. Responsible for verifying insurance, obtaining authorizations, and scheduling procedures for the Pediatric Pulmonary clinic. Obtain reservations for procedures and admissions. Coordinate with anesthesia; OR schedulers and admitting team to ensure an excellent patient experience and accurate scheduling. Follow communication protocols for informing providers of their procedure schedule.
Verify insurance and obtain authorizations for all required testing, visits, and procedures in compliance with the work queue metrics. Communicate any co-payment or co-insurance to the guarantor prior to the procedure.
Send out prep information and procedure information to families prior to their appointment.
Check and process daily operator messages each morning.
One year of experience in a medical office setting, including high-volume direct patient contact, scheduling of appointments and may require experience obtaining managed care authorizations (dependent on position description).
OR
one and a half years of work experience in a high-volume direct public contact position and 6 months experience in a medical office setting. The candidate must have a thorough knowledge of PAS policies and procedures. Candidates will have demonstrated advanced PAS user skills as well as extensive knowledge of integrated care at OHSU.
