Department Overview

The Health Unit Coordinator is part of the health care team and utilizes her/his knowledge and skills to support and enhance nursing area/unit operations throughout OHSU. The Health Unit Coordinator maintains an accurate and current profile of patients and health care team members in multiple locations: census boards, call lists, and in the integrated heath record. The Health Unit Coordinator serves as a communications specialist, providing clerical and reception skills, data collection and computer entry. The Health Unit Coordinator provides problem-solving and performance improvement assistance on the unit.

Function/Duties of Position

  • Demonstrate performance consistent with Departmental, Divisional and Organizational expectations and core competencies; maintain confidentiality and privacy of patient information; prioritize Health Unit Coordinator responsibilities and seek consultation when needed; perform area specific skills and follow established protocols; demonstrate fiscal accountability and the effective use of resources.
  • Prepare and maintain patient medical records; enter acuity of unit patients; maintain unit census documents/boards; photocopy and fax documents; maintain, order, and stock nursing unit supplies and resource materials; enter billing data; open, sort and distribute mail; organize and maintain filing systems; maintain logs and statistics related to unit operations; process physician orders, as directed; document in Soft Med.; prepare and maintain Care Management notebook used for documentation of care coordination rounds.
  • Support patient and family centered care across the continuum through service excellence; greet and screen visitors and provide information within unit-defined standards; respond to call lights; provide unit orientation to patients and families, health care team members, and visitors. Communicate in a respectful, caring and non-judgmental manner; answer multi-line phones, screen calls, transfer calls; schedule procedures and coordinate patient transportation to ancillary appointments; communicate new orders to appropriate staff; locate and page physicians and staff. Communicate with home health, SNF, and equipment suppliers to coordinate the arrangements for services as directed; obtain patient signatures as directed.
  • Participate in performance improvement activites; check for presence or absence of required documentation and follow-up with responsible parties; collect and document quality data, as directed.
  • Serve as resource for wireless communication devices: assume responsibility for administration of wireless communications at the unit level: track wireless badges and batteries, assign bar code to new users, add new users to Nurse Call as appropriate, notify ITG of neeed for training registration. Serve as resource for the integrated health record to include: first line support for questions; report problems to support desk; disseminate updates and informaton to staff; maintain competencies in current electronic health record workflows.
  • Assume responsibility for professional/ job related development, knowledge of advances in technology, use of new equipment and appropriate application of hospital systems; maintain knowledge base essential to the role of Health Unit Coordinator.
  • Participate in maintaining a safe environment of care, to include: daily unit rounds and posting EC Highlights. Support Infection Control measures, to include: auditing compliance with Isolation, Hand Hygiene and TB testing. Administer unit-level fit-testing. Recognize and respond to emergent situations.

Required Qualifications

  • High School diploma or GED;
  • One year of clerical experience in a health care environment; reads, writes and speaks fluent English; basic knowledge of medical terminology, basic math skills, demonstrated computer skills, demonstrated customer service skills, ability to prioritize and multi-task  OR
  • Equivalent combination of experience and training that would provide above referenced knowledge, skills and ability. 
  • National HUC (Health Unit Coordinator) certification preferred

Preferred Qualifications

  • College experience preferred.
  • Basic knowledge of medical terminology, abreviations and symbols.
  • Ability to read, write and speak fluent English.
  • Basic math skills.
  • Demonstrated computer skills
  • Demonstrated customer service skills
  • Ability to prioritize and multi-task.
  • National Health Unit Coordinator certification preferred

Additional Details

  • Frequent assignments with tight time frames. Frequent need to prioritize.
  • Frequent need to sit and answer phones and keyboard for extended periods of time. Frequent twisting from the waist to reach supplies and/or patient charts. Frequent need to walk around nursing units and facility to obtain supplies and/or locate staff. Occassional need to lift under 50 lbs.
