Department Overview

Works independently and in cooperation with the Facility Managers. This person is responsible for coordinating with other technical staff for reporting, scheduling, monitoring, and analyzing daily and project workloads. They coordinate repairs and preventative maintenance of all mechanical, electrical and plumbing systems including computerized energy management, HVAC control and operations systems. Assures safe, reliable, accurate operation of the building environment and all systems within areas assigned.

 

Works with staff as necessary to assist, train and develop them in the maintenance, troubleshooting and repairs of HVAC, heating and cooling components and all other building systems. Serves as primary customer service representative for all Facilities & Logistics operations. Responds to customers in a timely, effective, and professional manner, developing positive working relationships. This position is one of the main customer service representatives for the department and serves as a liaison during emergencies.

Function/Duties of Position

  • Maintenance and Work Coordination
    • Manages workload of crew through planning, assigning, and following up on work order assignments and other requested duties.
    • This process will include the use of computer applications such as Oracle and Excel to track workload and report on performance indicators.
    • Coordinates with manager for staff performance management and to produce employees’ annual performance reviews.
    • Oversees the operation, repair and maintenance of all building systems within assigned area; coordinates corrective and preventative maintenance and repair of all building systems; coordinates all system shutdowns.
  • Primary customer service representative for all Facilities & Logistics operations and services, responding to both internal and external customers in a timely, effective, and professional manner, developing positive working relationships.
  • Attends all required meetings and training classes, and successfully completes any proficiency evaluation (verbal or written ) which may be required to demonstrate adequate comprehension, and to satisfy requirements of OSHA, JCAHO, and other agencies upon which OHSU depends for accreditation.
  • Accurately completes all paperwork as required (daily labor reports, job plans, or work orders, etc.) and turns all paperwork in on time.
  • Utilizes computer skills to most efficiently manage workload of assigned staff and assures equipment and system reliability.
  • Creates and communicates regular appropriate reports to supervisor.
  • Maintains cleanliness and orderliness of immediate work area and vehicles, and maintains security and adequate stock of personal hand tools, common shop tools, and supplies.

Required Qualifications

  • Three years of experience in the operation, maintenance, or repair of facilities in one or more physical plant or building services; AND
  • One additional year of experience with responsibility for coordination of maintenance work.
  • In-depth skills in the operation, maintenance, troubleshooting and repair of refrigeration, HVAC and HVAC control systems (both pneumatic and DDC), mechanical systems, electrical and plumbing systems and components.
  • Journeyman-level knowledge of mechanical trades; skilled in reading and working from blueprints, drawings, and sketches.
  • Intermediate/Advanced PC skills (Microsoft Office including Excel, data entry, email).
  • Requires excellent writing skills and experience communicating clearly and effectively with large, varied audiences.
  • Driver license valid in the state of Oregon.

Preferred Qualifications

  • Technical classes specifically related to Facilities Management/Building Maintenance duties.
  • 5 years of experience in a hospital setting in Facilities Maintenance or trades-related experience.
  • 2 additional years of experience with responsibility for coordination of maintenance staff.
  • Welding skills.
  • Experience reading and creating CAD drawings.
  • Advanced PC skills (MS PowerPoint, Oracle, MS Project, MS SharePoint, etc.)
  • CFC Certification (Universal), Brazing Certification, Limited Maintenance or low voltage electrical license(s).

Additional Details

Normal duties require 40 hours per week. The position requires the incumbent to respond to on-call assignments, overtime, and after hours or emergency call-backs as needed.

 

Working conditions may include working outside in inclement weather, crawling in small cramped spaces, working from ladders, scaffolds and other above ground locations including high sloping roofs; working in extreme temperatures, around moving machinery, and in confined spaces containing high levels of of noise, dust, and odors could be expected. Some risk of exposure to dirt, biological, chemical and radiological materials, some danger of steam or hot water burns, electric shock, infection or minor injuries that could require the use of OSHA approved Personal Protective Equipment.
