Department Overview

The Mail Clerk position is responsible for all responsibilities required to make sure all incoming and outgoing mail flows throughout the campus efficiently. This is achieved by sorting, processing, metering and maintaining of internal databases to ensure that mail services are provided with the highest level of service.

Function/Duties of Position

  • Receive and sort inter office and all classes of USPS mail. Meter and prepare all outgoing USPS mail (Data Entry) this includes first class, express, and certified mail types.
  • Assists department lead as needed with routine database maintenance, compiling report data, monthly billing, postage renewal and supply ordering. Assists with maintaining documents and manuals for various compliance requirements.
  • Acts as a customer service agent for all internal and external customers. Identifies, investigates, and resolves customer service issues as needed.
  • Other duties as assigned by Lead or Supervisor.

Required Qualifications

  • One year of general office or secretarial experience, AND

  • An Associate’s degree or certificate in office occupations or office technology; OR

  • A Bachelor’s degree and six months of general office or secretarial experience; OR

  • An equivalent combination of training and experience.

  • Ability to type at least 40wpm, and experience with 10 key.

  • Ability to work in a fast paced environment, working to a strict and ever changing schedule.

  • The ability to follow written procedures and verbal directions.

  • Customer service skills. 

  • Ability to learn, and retain customer names and mail codes.

  • Ability to differentiate domestic from foreign mail addresses.

  • Proficient with standard Microsoft Suite applications.

Preferred Qualifications

  • 2+ years in a Mail Room or Post Office/Shipping & Receiving environment.

  • Previous Mail Room/Shipping & Receiving experience in a hospital environment.

  • Database entry experience.

  • Experience handling customer service inquiries.

  • Some experience in a Mail Room or Post Office/Shipping & Receiving environment.

  • Knowledge of the OHSU campus.

  • Experience with Oracle systems.

  • Knowledge of US postal rates, procedures and processes.

  • Experience with high speed postal meter machines.

  • Dangerous Goods Shipping Certification.

  • HAZMAT Certification.

Additional Details

Mail room type environment. Monday - Friday working schedule, 8-hour shift between the hours of 7:00am and 5:00pm. This could change depending on the needs of the department. Some exposure to hazardous materials.
