Department Overview

The Clinical Support Assistant (CSA) supports clinic activities of the Comprehensive Pain Center by performing a variety of clinical and non-clinical duties related to patient care and smooth flow of patients through the clinic. They provide exceptional customer service through prompt and professional communication skills and problem solving skills. 

 

The CSA assists the care providers by performing rooming process for clinic office visits, taking and recording vital signs and patient history, documenting in the electronic medical record, and supporting providers with paperwork, check-in of phone visits, scheduling follow-up visits, and preparing charts. The position will clean exam rooms, stock supplies, and check expiration dates.

 

This position reports to the Practice Manager and works closely with other clinic staff including nurses, medical assistants, PAS staff, and providers.

 

Requires working in a fast-paced environment, handling many tasks at one time.

 

This position requires someone who can problem solve, stay highly organized, and meet productivity standards. High level written and verbal communication skills and the ability to stay calm under high pressure conditions and timelines.

Function/Duties of Position

Clinic Support: Rooming of office visits

  • Performs Standard Rooming for clinic office visits, by recording patient vitals, social/medical history, pain score, chief complaint.
  • Prepares patient for the provider visit by preparing exam room, providing a gown or other dressing.
  • Cleans and turnover exam rooms after patient visits by following Standard Work for room cleaning. Prepare the room for the next patient.
  • Communicate with other staff such as PAS, providers, and RNs for a smooth and efficient workflow, for example patients running late, providers running late, room availability, use of equipment or interpreters.
  • Calls Phone Visit patients to ensure they are ready and available for their phone visit, and checks the patient in following Standard Work.
  • Keeps rooms stocked will all necessary equipment, supplies, and linen following CPC Standard Work for re-stocking rooms and Kanban.
  • Checks for expired supplies and removes them following Standard Work.
  • Prepares charts for upcoming visits.

Non- Clinical Support Duties

  • Schedules follow up appointments as needed after the visit, following CPC Scheduling Standard Work.
  • Schedules follow up appointments from various Epic workqueues, following Standard Work and meeting metrics for turn-around time
  • Send correspondence to patients including No Show letters, patient instructions, or new patient packets.
  • May assist with other duties for example voicemail.
  • Performs other administrative clinic support tasks as directed by the Practice Manager

Medication Prior Auth Processing

  • Follows CPC Standard Work for submitting medication prior authorization requests to insurance companies

Required Qualifications

High school diploma or equivalent, AND
One year of experience with high volume contact with the public; 

OR 6 months of medical office experience, with high volume contact with patients
Fluency in written and spoken English. Must be able to communicate effectively verbally and in writing. Excellent telephone communication skills.
BLS/CPR within six weeks of hire and then maintained without interruption.

Preferred Qualifications

  • Competent computer skills including MS Office and Windows required.
  • Excellent customer service skills, and ability to multi-task in a fast-paced environment required.
  • Must be detail oriented and have good organizational skills.
  • Must be able to demonstrate excellent customer service skills and communication skills, including both written and verbal. 
  • Must have a demonstrable record of reliable attendance, punctuality
  • Must be able to work both with a team and independently.
  • Experience working with an electronic medical record system and retrieving information from patient charts.

  • Working knowledge of medical terminology, clinic flow in a high volume multi-provider practice.

  • Experience scheduling patients in Epic or other electronic health record

Additional Details

  • This position works in a busy environment with a lot of interruptions, multiple demands and people interactions.  It requires dealing with noise and frequent interruptions within the work group.
  • This position requires sitting for several hours at a time, standing and walking for several hours at a time.  Heavy use of computer.  Ability to occasionally lift and carry at least 25 lbs.  Ability to speak clearly, demonstrate patience and understanding of customer needs.  Must be able to deal with competing needs and priorities of internal customers.  Significant use of personal computers, copiers, multi-line phones and fax machines.
