Department Overview

The Central Receiving Property Specialist is responsible for receiving, processing, and delivery of incoming shipments for OHSU inventories and stores. Receives PO's into the interfaced Oracle / SQBX receiving and tracking system, matching packing lists with Oracle receiving information. Deliveries are made around the OHSU and Waterfront campuses on a daily basis using push carts and electric carts. This position also includes the sorting of mail and packages, processing outbound shipping via FedEx, UPS, and DHL and Coordinates the use of the dock and manages freight deliveries. Works independently with limited supervision. Some courier related activities are needed at times for operational support.

Function/Duties of Position

  • Unloading incoming shipments.
    • Works with incoming couriers on a daily basis to ensure that trucks are unloaded quickly to allow for large volumes of trucks to utilize the dock in a limited amount of time. 
  • Receiving shipments into the Oracle system.
    • Responsible for the final receiving of packages shipped via many different couriers into our enterprise-wide financial system (Oracle).
    • This ensures timely receipt and payment of invoices by OHSU to vendors.
  • Entering of packages into the SQBX system.
    • Responsible for entering all incoming packages into a digital tracking system.
    • This position is also responsible for maintaining an accurate database within SQBX.
  • Sorting shipments for campus delivery.
    • Delivers to many different buildings, floors, units and departments based on the particular routes and delivery needs.
  • Delivering shipments to specific rooms around the OHSU campus.
    • The positions at the dock deliver all packages that come into the dock through various means, most consist of walking routes using carts and hand trucks.
  • Sorting and delivery of mail.
    • Sorts and delivers mail throughout particular buildings.
    • Deliveries are made to a central mail room or to individual department mailboxes.
  • Freight Management.
    • Responsible for accepting incoming freight or re-routing to appropriate destination.
    • This includes inspecting for damage, processing required Delivery & Fleet Services paperwork and filing of paperwork.
  • Miscellaneous Tasks.
    • Requires a limited amount of outbound shipping at particular or satellite docks.
    • "Dangerous Goods Shipping" online course is required.
    • Miscellaneous labor duties as assigned by management team.

Required Qualifications

  • Entry level experience performing stores (retail) and inventory work; AND 

  • Training or experience providing knowledge of inventory control systems, and transportation agencies and shipping methods (Amazon Purchasing).

  • Valid driver's license with a driving record acceptable to OHSU.

  • Customer service skills/must be personable.

  • Ability to operate a wide array of warehouse equipment including forklifts, hand trucks, pallet jacks, dollys, and electric carts.

  • Ability to learn, and retain customer names, and delivery locations.

  • Ability to type at least 30wpm, and experience with 10-key.

  • Ability to think independently, and direct carriers to correct delivery locations.

Preferred Qualifications

  • High School/GED.
  • 2+ years in a Shipping & Receiving environment.

  • Experience with Oracle system.

  • Experience with digital package receiving systems.

  • 1 year of forklift experience.
  • Experience handling customer service inquiries.

  • Knowledge of the OHSU campus is helpful.
  • Forklift certification.

  • Hazmat certification.

  • Radiation Safety certification.

Additional Details

Warehouse type environment at numerous OHSU locations. Monday - Friday, 8:00am - 4:30pm working schedule; this could change depending on the needs of the department. Some exposure to hazardous materials.

 

Ability to lift/carry 75 lbs assisted and 50 lbs unassisted numerous times per day. Ability to stand and or walk for continuous periods of time throughout the work shift. Some equipment used include: Forklift, pallet jacks, hand trucks, cargo van, and electric carts.
