Department Overview

Manage specific functional processes related to OHSU insurance, claims, and risk management activities. Identify and assess issues with incoming workers’ compensation and employment related matters. Serve as one of the initial contact and referral resources for internal and external customers. Manage special projects and department needs as assigned. Provide support to the Risk Management Vice President and assigned Risk Management (RM) Department teams. This position specifically supports the Risk Insurance Team. 

Function/Duties of Position

Administrative Coordination 

  • Within guidelines set by the Risk Management Vice President and Associate Director of Risk Management, provide day-to-day coordination of the RM departmental operations activities including, but not limited to triage of workers’ compensation claims, triage of organizational risk issues to determine appropriate routing and management.
  • Facilitate development of cross-functional project guidelines. 
  • Serve as the coordinator for RM services provided to other departments and external customers to assure appropriate involvement of specific RM staff and resources.   
  • Support initial response into risk management issues, including providing proof of insurance, responding to workers’ compensation incidents, employee relations, setting up employment practices and Directors & Officers potentially compensable events, claims and lawsuits in Risk Management Information System.  
  • Function as a back-up resource for workers compensation claims.
  • Provide back-up support for processing and monitoring Off Campus Authorization (OCA) requests through the online OCA system.  

Administrative Support 

  • Provide administrative assistant support to the Risk Management department, including but not limited to managing schedules, providing project support, phone support,  drafting correspondence, handling legal documents and materials, responding to departmental inquiries, developing and maintaining document management systems to promote efficient operations of the department.

  • Exercising good judgment & making decisions regarding project priorities. 

  • Work to assure timely & effective management of schedules, materials and projects. 

  • Assist in payment process from receipt of invoices and check requests through entry in STARS. 

  • Keep log of incoming checks.

  • Process mail, which includes receipt, scanning and attaching in document database, and providing the documents and information to the correct staff member.

  • Answer, screen and direct phone calls, disseminate information.

  • Coordinate meetings and training events; assist with the production of materials for meeting invitees.

Customer Support 

  • Perform various claims and customer concern interventions to identify, investigate and address customer needs related to potential and actual claims, including but not limited to potential labor disputes/labor & employment claims, workers’ compensation, and other highly sensitive matters. 
  • Make decisions within guidelines or at the request of the Risk Management Vice President or Associate Director of Risk Management.
  • Provide specific program information about services provided by the Risk Management Department as a whole.
  • Direct inquires as necessary, explain processes and procedures to customers, provide information about services available, and receive incoming calls and route to appropriate staff /office.

Insurance Support 

  • As requested by Chief Risk Officer and Associate Director, develop and maintain processes related to insurance activities, claim management processes, budget & financial reporting, risk identification & evaluation activities.
  • Track and monitor workers’ compensation insurance policies including out-of-state policies.

Other duties as assigned.

Required Qualifications

  • BA Degree or 2 years of experience working in an office environment.
  • Experience working in a senior level administrative office or legal office, communicating to audiences with widely disparate backgrounds, and project management support. 
  • Familiarity with risk, safety, insurance or legal issues. 
  • Experience with managing databases and/or dashboards. 
  • Basic understanding of workers’ compensation claims process. 
  • Knowledge of administrative processes related to legal/administrative risk management.

  • Proven excellent interpersonal, customer service, verbal and written communication & organization skills.
  • Ability to work independently and with minimal supervision.
  • Ability to multi-task, organize and prioritize workload, projects and duties. 
  • Requires high level of computer knowledge and experience in word processing. 
  • Ability to answer calls and calmly respond to inquiries from attorneys, students, patients, faculty, staff and the public. 
  • Oregon Workers Compensation claims examiner certification or willingness to obtain within 1 year of hire. 

Preferred Qualifications

  • Experience in communicating to audiences with widely disparate backgrounds.
  • Experience in upper or senior management environment, emphasis project monitoring, experience with OHSU mission and policies.
  • Prior program coordination experience preferred. 
  • Experience with systems conversions and documentation.
  • Skills in Excel (create spreadsheets, manipulate data), PowerPoint, database and internet skills for multiple uses (slides, reports, brochures).

  • Knowledge of medical terminology, legal and insurance terminology.

  • Typing speed of 65+ wpm.

  • Possess excellent writing, grammar, proofreading and accounting skills.

  • Other Risk Management certification such as an ARM or CPCU.

Additional Details

Remote work majority of schedule. This position will need to be able to drive or take transportation to downtown Portland office once per week.
