Department Overview

The in-office location provides direct access to managed inventory and supports close coordination with the staff reporting to this role. We operate in a fast-paced, high-intensity environment where exceptional customer service and unwavering dedication are essential to success. The OR/MSPU Supply Coordinator is responsible for managing materials, overseeing medical supply inventories, and coordinating vendor relationships to support the highest quality care in a cost-effective manner. This position focuses specifically on disposable supply needs associated with Perioperative (OR) Services and Multi-Specialty Procedure Unit (MSPU) areas. It is distinguished from other Supply Chain roles by its specialized emphasis on surgical supply requirements, as well as the increased complexity and critical impact of the assigned responsibilities.

Function/Duties of Position

Warehousing Responsibilities

  • Warehousing entails signing receipts for shipments upon delivery and submitting them to the Accounting Department for processing. It involves maintaining comprehensive records of shipments and product counts, as well as loading and unloading shipments while meticulously checking items for conformity with specifications and any signs of damage.
  • The role also includes applying price and identification labels to items and arranging them on shelves, ensuring proper rotation of stock items with limited lifespans.
  • Monitoring inventory levels and assisting with reordering and data entry for replenishment are crucial tasks.
  • Additionally, distributing supplies to staff and handling sales transactions with students, residents, staff, or the public may be required.
  • Fulfilling order requests accurately and addressing inquiries regarding stock availability and purchasing procedures are essential aspects of the job.
  • The position also involves tracking purchases and troubleshooting any issues related to misplaced shipments or packages.
  • Preventive maintenance on Pyxis machines, ensuring accurate restocking, counting, and patient charging, as well as dispenser emptying, is part of the role.
  • Maintaining the organization and cleanliness of shelves, ensuring proper labeling and product information, and assisting in processing outbound shipments, including packaging and labeling, are other responsibilities.
  • Safeguarding items such as drugs, poisons, and flammables with proper security measures is critical.
  • Utilizing equipment such as forklifts, powered or manual pallet jacks, piano dollies, large carts, and hand trucks for shipment movement is necessary.
  • Conducting annual inventory counts to ensure accuracy and maintaining a safe and clean warehouse environment, promptly reporting any facility deficiencies, are
    additional duties.
  • Providing regular care and maintenance to equipment and promptly reporting any issues or deficiencies is also part of the role.

Inventory Control/Purchasing/Quality Checks

  • Monitors, counts, and reports restocking and delivery activities; evaluates issue quantities to meet customer needs.
  • Conducts random quality checks of supplies including receiving, data entry, picking; restocking, delivery and utilization.
  • May be responsible for billing to individual units for supplies used.

Customer Service

  • Identifies and resolves customer issues and utilizes proper steps for resolutions or escalates issue to appropriate personnel.
  • Keeps up-to date on customer alias and department location. 
  • Answers and triages customer calls.

Training and Oversight

  • Coaches employees in day-to-day tasks.
  • Assists in training staff, cross training staff in processes and priorities of work.
  • Assists supervisor and lead in scheduling work and assigning tasks for the warehouse daily operation; oversees day to day workflow.

Transportation

  • Safely operates employer owned vehicles.
  • delivers supplies, maintains and refuels vehicles.
  • Maintains driver’s log and completes inspections reports.
  • Maintain vehicle equipment such as tire chains and jacks.
  • Performs emergency roadside service such as changing a flat tire.

Other duties as assigned.

Required Qualifications

  • Experience performing stores and inventory work; AND 

  • Training or experience providing knowledge of inventory control systems, and transportation agencies and shipping methods.

  • Driver’s license and driving record that meets OHSU’s driving requirements.
  • Hazmat certification within 3 months of hire through OHSU.

Skills and Abilities

  • Knowledge of spoken and written English at the high school graduate level.
  • Conflict resolution skills and the ability to demonstrate effective time management.
  • Must have effective communication skills, both oral and written, have and maintain a working knowledge of computer operations to include checking and using electronic mail.
  • Must be able to adapt to changes in the work environment and related assignments, and must be committed to the task at hand.
  • Experience and/or understanding of stock on hand and min/max counting, including rotation of stock and expiration checks.

Preferred Qualifications

  • High School Diploma or GED.
  • Working knowledge of hospital materials management distribution systems.
  • Medical supply familiarity, knowledge of OHSU systems, and medical terminology is preferred.
  • Understanding how to set min/max’s.
  • Experience using handheld counting devices.
  • Forklift training preferred.

Additional Details

Employee may be exposed to dirty linen while performing duties. The warehouse stocks hazardous items such as IV Fluids, Cidex, etc., which may be handled by employee. Appropriate safety precautions are taken before handling any hazardous/dirty items.

 

In this position, you may be required to work in locations exposed and/or affected by: weather elements including rain, hail, snow, heat, humidity and wind; fluctuating noise levels; dust; vibrations and on occasion wet/slippery areas.
