Department Overview

The mission of the Information Technology Group (ITG) is to develop, implement and maintain technology-based services and solutions enabling OHSU to effectively manage information to accomplish its missions. 

 

This position coordinates and assists the Strategic Healthcare Projects group in the management of assignments within scope, time, cost and quality; partners with Strategic Healthcare Projects' customers to assist them in the project intake process; assists with project management tool evaluation, development and refinement; assists Managers & Project Managers with the development and tracking of various project efforts and documents; coordinates, facilitates and/or executes assignments for projects within ITG, OHSU and OHSU Health.

Function/Duties of Position

Project Coordination

Works with project managers and/or manager to organize and coordinate project assignments. Independently manage project work, as assigned. May be assigned to monitor project plans, schedules, resources, risk management and organization. Participate in project meetings, developing and conducting requirements analysis. Responsibilities include, not limited to:

  • Develop and execute communications to project members and stakeholders.
  • Follow-up with project team members to keep project activities on track.
  • Assist project managers to track meeting minutes, action items, decisions, follow-up items, etc.
  • Work with customers to clearly communicate task status, goals, timelines, and project deliverables.
  • Other duties as assigned.

Continued Professional Development

Participate in appropriate activities that enhance general knowledge of or ability to do assigned work. This includes, but is not limited to, the following:

  • Attend classes, seminars, and other training forums.
  • Attend staff meetings and other informational sessions.
  • Read vendor documentation, trade publications, or other sources appropriate to position.
  • Interact with peers and other employees to receive and disseminate information.

Required Qualifications

  • Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review. 

    • Two of the required years must have included administration or oversight of an on-going project or program.

    • A Bachelor's degree in Business Administration, Management, Public Administration or a closely related field may be substituted for up to two years of the required experience. 

    • Note: there is no substitution for the two years of administrative experience.

Skills and Abilities

  • Ability to coordinate complex meetings, discussions & agendas.

  • Advanced MS Office suite skills, including Project, SharePoint, Visio, Excel, Teams, OneNote, and PowerPoint.

  • Able to collaborate with technical partners on complex and nuanced topics to identify and resolve issues.

  • Presents professionally in meetings and other venues with colleagues and all levels of management.

  • Able to successfully communicate & build positive relationships among customers, co-workers and vendors.

  • Demonstrates the following core competencies: Leading Self, Leading Others, Leading Leaders, Leading Function.

 

Preferred Qualifications

  • Experience in an IT environment.
  • Experience in an Academic Medical Center environment.
  • Project management methodology and terminology.
  • Business analysis experience within an IT environment.
  • Smartsheet experience.
  • CAPM, PMP, or other project management certification.
