Department Overview

The Logistics Warehouse, situated within the Supply Management vertical of Supply Chain and Logistics, operates in alignment with Oregon Health & Science University's (OHSU) commitment to excellence. Located in the South Waterfront, our warehouse stands out due to its specialized focus on healthcare partners, supplies, and necessary support for a Level One Trauma Center. The in-office location at the Macadam Warehouse is in close proximity to managed inventory and staff reporting to this role.

 

This role manages its own team dedicated to inventory management and reports to the Assistant Director of Supply Management. The team of 10 directs and manages work directly with Clinical Stakeholders, Perioperative Services, Pharmacy, Ambulatory, and Purchasing. This role may also work closely with OHSU Health Partners as needed.

Function/Duties of Position

OHSU's Inventory Strategy & Program Management

  • Continually monitor resources, processes, and procedures of inventory strategy & program management for OHSU.
  • Oversees the $7.1 millions of Macadam Warehouse inventory processes to procure and stock appropriate levels of necessary supplies to ensure continuity of the supply chain.
  • Collaborates with OHSU medical supply distributor, Purchasing, and other departments to convert, substitute, and acquire new products.
  • Responsible for having expert knowledge on the JIT/LUM program, ParEx, Pyxis, ParKing, IPA, PickPro, and Hospital Order Management Engine (HOME) systems.
  • Accountable for making inventory decisions on product changes and cost-savings initiatives as requested by the OHSU Value Analysis Committee.
  • When needed, manages tracks coordinates inventory that is in storage at our offsite storage locations through contracted or independent vendors.

Process Control & Project Management

  • Responsible for overseeing and improving departmental processes and ensuring that each operates efficiently and effectively. 
  • Works closely with PeriOp, the Distribution Manager, Customer Service Manager, Linen/Surgery Supervisor or other Supply Chain & Logistics Managers to develop and implement processes, standards, and improvement initiatives.
  • Ensures that the Supply Chain & Logistics warehouse is following best practices of inventory management in the entire supply chain at OHSU.
  • Monitors and adheres to rules, regulations, and policies with a strong focus on building excellence from the ground up.
  • Owns the end-to-end Demand Planning strategy for the Supply Chain & Logistics warehouse, ensuring alignment with business needs, inventory targets, and service level expectations.
  • Continuously evaluates demand signals, operational outcomes, and team effectiveness to refine strategy, improve forecast accuracy, and optimize warehouse efficiency.

Financial Management

  • Must meet or exceed fiscal goals monthly and is accountable for justifying all large non-typical variances (+$25k) to direct leadership and when needed, senior management (+$250k).
  • Responsible for managing $7.1M of Logistics Warehouse Inventory and 130+ sub inventories totaling $1.6M.
  • Accountable for approving the Supply Chain & Logistics daily warehouse inventory requisition.

Reporting

  • Responsible for reading, tracking, and writing any Patient Safety Intelligence (PSI) responses as assigned by the PSI Coordinator.
  • Establishes Key Performance Indicators (KPIs) and other metrics to measure the performance and drive improvement of all inventory locations.
  • KPIs would include but are not limited to inventory value, inventory turns, cycle count accuracy, inventory adjustments, ABC stratification (including identification of slow-movers & no-movers), and Economic Order Quantity (EOQ).
  • Monitors daily inventory reports for spikes, incorrect transactions, or missing transactions. 

Personnel Management

  • Fully responsible for hiring, coaching, and training the Inventory Team. 
  • Must effectively communicate expectations with departmental staff through individual GROW conversations, one-on-one meetings, coaching, and staff meetings.
  • Creates an environment of positive engagement by including staff in decisions that affect their work, providing timely and clear communication, establishing clarity of roles and responsibilities, delegating responsibilities to the lowest level possible, and supporting high levels of staff accountability.
  • Establishes and enforces cross-training standards and task prioritization protocols to safeguard continuity of operations. 
  • Ensures staff are equipped and prepared to assume critical responsibilities during staffing gaps or emergencies, minimizing risk to service levels and operational performance.

Required Qualifications

  • Bachelor's Degree in Business, Supply Chain Management or related field or an equivalent combination of training, education, or experience.
  • 5 years of experience in Supply Chain functions. 3-5 years in a Supply Chain Manager leadership role leading others.

  • AHRMM Certification.

Knowledge, Skills, and Abilities

  • Must have a base knowledge of Supply Chain Management and understand how this impacts the success and performance of the organization.
  • Understanding and application of: ABC Analysis, Just-In-Time inventory programs, Par Level Management, Lead Time Management, Vendor-Managed Inventory (VMI), Continuous/Periodic Review System, Buffer Stock Theory, and Economic Ordering Quantity theories.
  • Project management training and experience.
  • Experience presenting in front of Senior Leadership.
  • Must be able to develop Return on Investment, possess excellent analytical and problem-solving skills, and excellent customer service characteristics such as communication, professionalism, and follow-through.
  • Must be able to effectively communicate program goals to all levels of staff, management, and stakeholders.
  • Must have strong organizational skills, with the ability to prioritize workload and manage multiple projects simultaneously.
  • Must know about OHSU Systems, including Oracle.
  • Must be able to utilize MS Word, MS Project, MS, Access, MS Excel, and Smartsheet.

Preferred Qualifications

  • MBA or CMRP Certification.
  • 5-7 years in a Supply Chain Management leadership role in a healthcare setting or equivalent combination of education and experience.
  • Familiar with Inventory modules within ERP’s, Huddle Facilitation, MS Project & Access experience preferred.

Additional Details

Must have the ability to be flexible in work schedule and be available to work on short notice. Some early mornings, nights, and weekends may be required. The work environment is in a cubicle office, in a warehouse or office environment, and the field in hospital and clinic settings with exposure to patients, lab experiments, and other hospital-related situations and exposure to hot and cold weather elements and moderate noise and dust. Must be willing to travel between all OHSU satellite locations and to off-campus locations if needed. Requires work hours beyond standard office hours, as required.  Some travel to industry conferences, site visits, etc., is needed infrequently.
