Department Overview

South Operating Room (SOR) is a large 25-bed OR primarily an adult inpatient operating room with a small volume of outpatient procedures including: Cardiac/ Thoracic, General Surgery/Minimally Invasive/ Colorectal/Bariatric, Gynecology, Oral Maxillofacial, Neuro/neuro spine, Orthopedic/orthopedic spine, Otolaryngology, Plastics, Transplant, Urology, Vascular, Robotic (Urology/GYN/Oral), and Trauma. Surgical procedures on infants and children less than 18 years of age are also performed if the procedure requires specialized equipment found only at this location. The purpose of this position is to provide reception, operations, and administrative support of the Perioperative Division, primarily at South OR but may be requested to float within the division

Function/Duties of Position

  • Provides operational support for the OR front desk team; including coordinating the surgery schedule, transportation of surgery patients, scheduling add-on cases, facilitating and communicating with multi-disciplinary team members key and vital operational information.
  • Supporting the OR Charge Nurse to operationalize daily needs and functions of the OR, as well as, utilizing OHSU computer programs.
  • Answering multi-line phones; directing calls; making calls to communicate to other areas of the hospital; attending to visitors; attending to staff.
  • Coordinating the transportation of patient beds, specimen, blood products, and labs in and out of the unit.
  • Delivering information and/or materials and/or equipment directly to the Operating Room suites;
  • Provides coordinating of supplies, trays, and equipment entering and leaving the unit.
  • Acts as an intermediary between third party vendors and surgeons. Directs providers to their operating rooms and provides current projected start times for all staff and surgeons throughout the day. Obtains loaner equipment from off-site companies when equipment constraints arise. 

Required Qualifications

  • Six months of work experience in a medical office setting, including high volume direct patient contact OR 

  • One year of work experience in a high-volume direct public contact position.

  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.  Contact Compensation for confirmation of eligibility.

Knowledge and Skills Required:

  • Basic computer skills including word processing including typing of 30 - 45 wpm.. 

  • Windows applications, on-line scheduling, and a preference for data-base skills.

  • Excellent verbal and written communications skills. 

  • Strong customer service orientation. 

  • Demonstrated effectiveness in confrontational customer interactions.

Preferred Qualifications

  • High School diploma or equivalent.
  • Associate's degree or certificate in office occupations or office technology or a bachelor's degree.
  • Proficient knowledge of computer applications MS Word, MS Excel, Smart Web, Epic and other applications commonly used across OHSU.
  • Two years of general office or secretarial experience. 
  • Knowledge of medical/surgical terminology.
  • Familiarity with the functionings of the Perioperative Department.
  • Proficient knowledge of computer applications MS Office programs. 

Additional Details

Saturday 0600-1800 and Sunday 0600-1800 with some mid-week work coverage This position is located in a busy area for the SOR Front Desk where there is much patient and personnel traffic. The environment can be very busy with many interruptions.
