Department Overview

The Audiology Support Specialist provides administrative, operational, and patient care support for the Department of Otolaryngology's Audiology division. This role is essential to ensuring a positive patient experience and the efficient operation of clinic services by supporting a team of audiologists and coordinating care for a high volume of patients, including those with complex medical needs.
 
Working closely with audiologists, patients, and multidisciplinary care teams, the incumbent assists with patient scheduling, registration, insurance verification, hearing aid and cochlear implant services, inventory management, and patient education. The incumbent also provides physical support during pediatric audiology examinations as needed. This position is responsible for ordering hearing aids and related equipment as directed by audiologists and ensuring all equipment has been received and is functioning properly prior to patient appointments and/or surgical procedures.

 

The Audiology Support Specialist also provides front desk coverage, manages hearing aid and cochlear implant inventory, and maintains inventory tracking within Epic. Responsibilities include responding to questions regarding insurance coverage, copayment requirements, and general clinic information; conducting patient intake activities, including verification of eligibility, benefits, and authorizations for hearing aid services; and entering and updating authorizations within EARL. Additional responsibilities include scheduling audiology appointments and requesting, receiving, and preparing prior medical records, imaging studies, and laboratory results for new patients to support continuity of care.

Function/Duties of Position

Hearing Aid and Cochlear Duties

  • Provides hands on assistance during audiology visits.
  • Responds to patient’s email questions and concerns. Triages to determine if patient needs to be seen sooner.
  • Performs hearing aid repairs.
  • Performs hearing aid checks and cleaning.
  • Sends stock out for maintenance.
  • Tracks and maintains hearing aid warranties. Assists with vendor relationships.
  • Assists customers with exchanges or returns as needed.

Basic Operational Duties

  • Identifies and collects payments on all hearing aid sales and other ancillary products.
  • Demonstrates strong customer service skills in all interactions with patients and families, including both telephone and face-to-face interactions.
  • Maintains a clean, safe and orderly environment. Includes, but is not limited to, maintaining supplies, equipment and forms, notifying appropriate personnel when cleaning and repair of equipment is needed following infection control policies, maintaining knowledge of life safety, patient safety, fire and electrical safety, and disaster plan. Clean audiology booths and dirty toys used with pediatric patients daily.
  • This position must be able to present to and educate staff, providers and the public- requiring a strong knowledge base in retail hearing aids

Inventory Management

  • Responsible for maintaining cochlear and hearing aid inventory on all products
  • Responsible for ordering inventory when supplies are running low.

Other Duties as Assigned

Required Qualifications

  • High School Diploma AND 
  • Three years experience with audiology operations, including inventory selection, marketing, and coordinating public events, OR
  • An equivalent combination of training and experience.

Preferred Qualifications

  • Three years' experience with demonstrated competence in Inventory control and tracking.
  • Ability to answer multiline phones, schedule appointments and complete EARL’s; Experience with web site upkeep and design.
  • Experience with audiology diagnostic and hearing aid software and equipment. 
  • Demonstrated knowledge of retail setting operations.
  • Experience with hearing aid repair techniques including re-tubes, receiver changes, and removal line replacements. 
  • Knowledge of hearing aid and cochlear implant vendors and brands. Ability to answer customer questions regarding devices. 

Additional Details

Monday – Friday 8:00 am – 4:30 pm at PPV250. Hours will vary. Working in highly productive fast paced

office with multiple competing priorities. Face to face interaction every day with patients of all ages who are hearing impaired.
